Minutes for WPSC General Meeting

President Marc Rubinstein presiding

Tuesday, March 13, 2012 at Panera Bread, White Plains, NY

 

1.     Welcome – Call to order at 7:45 pm.

2.     Minutes from previous meeting on 2/14/2012 read and accepted (no minutes from 2/18 meeting at the lodge).

3.     Committee reports:

a.   Treasurer - $627 in checking and $26,370 in MM accounts.  At this point, we are taking in more than last year due to more lodge use and meals. 

b.   Lodge – Room 7 may have a leak on its front wall; mattresses were damp. VP Stan will contact Norman about it.     

c.   Reservations – Lodge has been full lately and some members have been kept out due to late reservations after guests have been confirmed.  Reviewed and discussed guest policy (under New Business).  Potential amendments tabled until Executive Committee meeting action this summer. 

d.   Membership – One additional Single Family member Jeff Frey since last meeting. Diane Steiker upgraded her Single Family membership to Regular Family membership to bring in husband Maurice as a Provisional.  The Executive Committee will vote on the four Provisionals (Fosters, Deans, Steikers, Dorothy Vieni) at their summer meeting. 

e.   Trip Leader – Report submitted by Trip Leader Chair Mark Duffy via email:

We've had good participation on trip leaders, thanks to everyone who has led a trip!  I will publish a complete thank-you list at the end of the season. Please keep volunteering.

A note to trip leaders:  Please be careful to look in the freezer, attic, cabinets, etc as applicable before reporting shortages of food and supplies. Otherwise the next week's leader may end up buying supplies that are not needed.

Bathroom cleanup chore description will be updated for next season based on executive board discussion.  Since we have a cleaner that comes in during the week the goal of the bathroom cleanup is just to leave the place generally presentable, not to scrub every surface.  This will bring the chore description more into line with what people have typically been doing.

4.     Previous business:

a.   Discussion of the intermittent odor that seems to have returned to the lodge. Need to have someone check the repair under the stairs near the fireplace that Dave Hecht made last year.  Perhaps roots have regrown and there is standing water on the other side under the lodge now; may need to have Gunner the engineer come out again in the spring after snowmelt.  Smoke test never done; perhaps that should be considered now.  Stan will call Norman to discuss.

b.   Frank Backenstrass and daughters were recent guests at the lodge.  They indicated that they had a good time and will probably be joining as provisionals next season. 

c.   The “Bike it if you Can” weekend in July being planned by Dave Wilson is already being advertised.  We are hoping for a good turnout.

5.     New business

1.    Guest policy was reviewed.  Amendments were tabled until the next Executive Committee meeting.    

2.    There was a lively discussion about food allergies and what to do about them with regard to the cook. Currently, members allergic to gluten bring their own bread and cereals.  When the cook is at the lodge, nobody is permitted to use the kitchen, so members requiring special meals must excuse themselves from dinner and eat elsewhere.  We will consider asking the cook to tell us what the meal will be by Tuesday, so those who need to opt out have time to do so by Wednesday.  This could be posted on the Reservations page.

3.    Stan Cichocki will head up the Nominating Committee and present the slate of nominated officers for next year.  The ballot will go out five (5) days before the next meeting, if possible, pursuant to the Bylaws.  We will vote by email.

4.    Art Wilchek submitted a question via Sandy asking if we have ever considered summer memberships.  A short discussion followed, and the consensus was that we don’t need that level of membership.  People may join during the ski season, but use their chits during the summer, if they prefer.

Next regularly scheduled membership meeting will be on Tuesday, March 27, 2012.

8.      Old business – regarding the bike weekend, it was remarked that anyone up at the lodge with bicycles, for this bike weekend in July or otherwise, cannot store their bikes inside the lodge.  Marc will make sure Dave Wilson knows this.  Rita Hess remarked on her and Alfred’s great appreciation at the help extended to them by Bob Kehr and Noam Shoshan when they were up at the lodge recently and conditions outside were icy.  Nice going, guys.  You musta been boy scouts J  Marc Rubinstein read a postcard from his kids Megan and Dave, who were on a ski trip out west and were joined by Erica Wintermuth (see post on FB page!)

 

9.      New business – Dave Stein requested that we get a tabletop mic for skyping meetings, it’s really hard to hear when you are skyping in.  Art Wilshek said he has friends who are interested in coming up in the summer, have we ever considered summer memberships?  How would they satisfy the provisional requirements?

11.   Welcome – welcomed possible new member Frank Backenstrass, who has skied at MRG for years, lives in Pleasantville.

 

12.   Approval of the minutes from previous meeting – minutes were read and accepted.  The meeting at the lodge over MLK weekend was technically the last meeting, but it was essentially the same agenda as the 1/10 meeting.

 

13.  Treasurer’s report - $2,912 in checking and $21,066 in MM.  $16,365.76 taken in since June 1, $23,987.25 out for a YTD loss of $3,345.79.  This is largely having to do with much lower room usage due to less-than-great ski conditions so far this year (we took in $2,885 in room rental from 6/1/10 – 2/14/12, vs $800 in that same period this year)

 

14.  Lodge Chair’s report – Norman negotiated reduced bills for the installation of the new dishwasher, good job Norman.  The septic was pumped out two weeks ago – make sure we use septic safe products.  We need a new battery for the phone in the mudroom; Pam Ferraro will do this coming weekend.

 

15.  Membership chair report – 52 active adult members and 6 provisional adult members.  We are very close to last year’s membership levels in headcount and income.

 

16.  Central Reservations chair report – President’s day weekend full with a waiting list.

18.  Old business – Dave Wilson is creating a Bike Festival weekend, July 14-15 possibly extending either way a few days.  WPSC members will be invited to participate and members of the Westchester Cycle Club will be invited to stay at the lodge.  Cost and details are being worked out.  Dave is working with Eric Friedman at MRG and Seth Thomas, owner of Infinite Sports in the valley.  Sounds great!  Member wellness:  Ave Haviland hurt her shoulder on the first run of the season and might be out for the season.  Clare Duffy hurt her shoulder at home.  We’ll put these notices in the email news.

January 14, 2012 – Lodge Meeting (MLK)

Good meeting, we went around and introduced ourselves, as we had several new members, and then just pretty much just went over the minutes and issues from Tuesday's meeting at Panera, there was general interest in Dave Wilson's bike weekend.

 

The new dishwasher is working fine.

 

Everyone seems to love the wifi!!  Funny, instead of the kids going up to their rooms and watching movies on their laptops up there, they were all clustered around a few laptops either at a table, on a couch or in the firepit area watching ski movies together.  It was nice to see.  Had to ask them only once or twice to turn down the volume but it was generally a totally positive thing.  People really liked being able to check the weather and sports scores too.

 

Great crowd this weekend, the Dean's are a lovely family and their kids fit right in and seemed really happy.

21.   Welcome – new provisional Dorothy Viene, friend of the Donderos

 

22.   Approval of the minutes from previous meeting – minutes were read and accepted.  The WTW was technically the last meeting, but no minutes were taken; that should be done in the future.

 

23.  Treasurer’s report - $1,782 in checking and $21,969 in MM.  $13,980 taken in since June 1, $20,004 out.  The difference (loss) is partially due to having spent more on propane costs this year, due to higher prices and a different delivery schedule.  We took in $1200 less rooming income than this period last year and still had septic costs.

 

24.  Lodge Chair’s report – Norman was not there but there was a discussion about the second new dishwasher, it was improperly installed so we had to call a plumber to fix it, which resulted in a large bill.  Normal will call both Bisbees to contest their installation charge and the plumber (Viens) to see if he will reduce his bill.  The compacter was stuck over new year’s weekend but is now working.  Wifi is now installed in the lodge and according to Dave Wilson, working well.  We are paying for a modem rental this year but might consider buying one in the future.

 

25.  Membership chair report – we have two more possible members.

 

26.  Central Reservations chair report – MLK is full but MRG is still not open, have been flexible about our cancellation policy in light of the conditions.

 

27.  Trip leader’s chair – always looking for trip leaders, please volunteer!

 

28.  Old business – Pam Ferraro reported that we had the highest turnout for the WTW last month than we have had in a few years, and it was a really fun party.  Gunner McCain, the septic engineer, has not returned the card key, Pam will email him to ask him again.  Membership cards with the Metro NY sticker for discounts were passed out, Janet has them for those who were not in attendance at this meeting.

Minutes for WPSC general meeting

Tuesday, Nov. 8 2011, Panera Bread, White Plains

 

·          Welcome

 

·         Previous Business – Oct. 1022 meeting – read and accepted

 

·         Introduced a guest, Dave Foster, who is interested in provisional membership.  He was referred to us by Noam Shoshan.

 

·          Committee reports

a.    Treasurer  - after John deposits checks he received tonight we will have $19,359 in the combined accounts.  We have spent approx. $16K since June 1.  There was some confusion about the propane delivery and timing of bills, but they have balanced out.  We should get another delivery in December or so.

b.    Lodge   - Norman not present, Sandy will ask him for a final report of work weekend duties.  Rita has been given the go-ahead to order another dishwasher;  Nick Dondero suggests that we get one with a cancel or drain switch on it.  Pam Ferraro will contact Christine Cooke about cooking for us again this year.

c.    Central Reservations  - wide open at the moment

d.    Membership – we have:  4 single members, 8 regular family, 1 single family, 1 provisional family, 1 provisional single family, 1 mailing member.  We will extend the no-late-penalty date until the WTW party on Dec. 3 to receive membership forms and payment.

e.    Trip Leader – no report

f.     Corresponding Secretary  - Erica Wintermuth has done a good job reviving our facebook page.

 

 

·         New Business

a.    Installing wifi at the lodge.  It was decided that the board will vote on the following proposition:  that the club will foot the bill for wifi, purchased through Green Mountain Cable, for a one year trial period starting this coming December at a cost of approx. $42 per month.  We will reassess how it’s working out next summer, and can either assess the membership if necessary or cancel any time after the first year is up.  Marc will poll the board by email and Sandy will get it done.

b.    Septic update – Pam will send a thank you note to the engineer, Gunner, and ask for our card key back.

c.    Membership cards – Sandy will make some membership cards; we can affix the stickers from the Metro NY ski council to receive discounts at various shops and ski areas.  We also need more of the great recruiting cards she made up.

d.    Chet Risio and Sandy have been compiling archival information, taking over where Alan Copeland left off.  It was agreed that important documents should be stored in a fire-safe box at the lodge.  Documents should also be scanned first.

e.    We are looking into having our January meeting at the orthopedic surgeons’ office in Greenwich; Pam will arrange.  If not, we’ll be back at Panera.

f.     Please contact Pam to sign up for the Welcome to Winter party, Sat. Dec 3 from 5 – 8 pm.

1.                MRG won Governor’s Award for environmental stewardship, only ski area in Vermont to win

9.    Committee reports:

a.   Treasurer - $14,368 in checking and MM accounts.  A total of $5,450 was spent to investigate and satisfactorily resolve the problem of the septic smell. 

b.   Lodge – Not enough people have been up for work weekends yet; need to encourage members to go.  Dehumidifier should be put in boot room under work bench when not in use so it can be easily found and turned on in the spring.  Need to get new dishwasher installed before Christmas week; Rita Hess will work with Bisbee’s to accomplish this.  Reminder that people should not put supplies like toilet paper and tissues in the cubbies in the back kitchen area; those supplies should be kept in the bathrooms under the sinks.  Cubbies are for kitchen staples and members’ food bags/boxes only.  Rita will get new mattress covers as needed.  Reminder to members that no food should ever be taken upstairs.     

c.   Reservations – No report.

d.   Membership – Membership forms and checks are now being accepted for this season.  New provisional Diane Steiker introduced and welcomed.  With thanks to Pam Ferraro and Sandy Maguire, we now have snazzy new WPSC business cards to hand out to prospective members in the lift lines and other places.  A page of cards was handed out to each member in attendance; the rest will be kept in the table drawer between the two chairs near the entrance at the lodge. 

e.   Trip Leader – No report, although Trip Leader Chair Mark Duffy attended the meeting via Skype.

10. Previous business:

a.   Discussion of having internet access at the lodge continued from the spring.  Sandy Maguire has gathered a lot of information; we could have wireless DSL through our phone line from Green Mountain Access for about $45/month.  We will vote on this at the next meeting.

c.   Pam made inventory of leftover items in the boot room and will email it to members.  If nobody claims the items, she will donate them to charity.

11. New business

1.    Welcome to Winter Party will be held on Saturday, December 3, 2011.  Pam will contact St. Joseph’s of Arimathea Church to get the room for the party, and will coordinate food, etc. 

2.    With many thanks to Sandy Maguire’s efforts, three members were able to “attend” this meeting via Skype -- Dave Stein and Mark Duffy from two different places in Massachusetts, and Noam Shoshan from New Jersey.

3.    Pam Ferraro will contact the Orthopedic doctor group she knows in Greenwich to see about having our January meeting there.

Next regularly scheduled membership meeting will be on Tuesday, November 8.

Tuesday March 22, 2011 - Bradhurst

 

1.       Welcome – read minutes from previous meetings, accepted

a.       Treasurer   - $623.18 in checking and $30,477.59 in money markets for $31,100.77 total.  We have continued to spend more than we have taken in this financial year (since June 1).  Membership and room rental incomes are down.

Collected hand in ballots, will be counted with email ballots.  The slate is presumed to have a majority vote and the officers are to be thanked and congratulated.

 

b.               Continued a discussion from previous meetings about using Skype or some similar program to allow people to virtually “attend” meetings.  Sandy Maguire will conduct a test meeting this coming Tuesday with a small group and will report back to the board.  A skype meeting is 10 people or under, so it will not totally replace our Bradhurst meetings but could allow others who cannot attend to participate.

 

c.        Septic update:  the engineer Gunner will be testing the water found in the hole under the wall and we are planning on some excavation once all snow is gone and the ground is thawed.  If water is septic, the plumber will do a smoke test to check our system.  We continue to talk about the possibility of our problem being somehow connected to Ramapo and runoff from their system.  We may do soil samples, including from the area behind the trench in the back.  If we feel there is some connection, we will have to approach Ramapo in a more formal way, with documentation, and with Gunner’s involvement.

 

d.       Continuing discussion about installing internet access at the lodge.  If we add internet service to our existing phone service, it will cost an additional $400 - $500 a year but we can use a simple device to then allow long distance phone service, which would be very helpful especially to those whose cell service doesn’t work so well up at the lodge.  This will be discussed further at the next board meeting.

 

e.        All incoming and outgoing officers thanked and a little party given!

Tuesday March 8, 2011 - Bradhurst

 

1.       Welcome – read minutes from previous meetings ( lodge meeting).  In memory of Allan Copeland, who passed away this week, we read his entry in the 40th anniversary booklet and commemorated the life of this great guy and his contributions to the club.

 

2.       Committee reports

 

a.       Treasurer  - $1.083 in checking, $29,825 in MM, $30,908 total.  From June 1, we have spent $1903 more than we have taken in.

b.      Lodge  - old dishwasher not working, leaking – we’ll try to not use it in the off season, when Nick Dondero is up there next he’ll take a look at it and might be able to repair it, otherwise we will replace it in the fall.  Some issue with the ladies room toilet, following up with Bob Kehr.  

c.       Central Reservations – plenty of space

d.      Membership – no new report, Janet does get hits from the MRG website from interested parties

Saturday, February 19, 2011 at WPSC lodge at Mad River Glen, Vermont

 

1.       Welcome – Call to order at 6:15 pm

2.       Minutes from previous meeting on 2/8/2011 read and accepted

3.       Committee reports:

a.   Treasurer - $29,944 in checking and MM accounts.  Since June 1, 2010, we have spent $22,242 in expenses and have spent $2,530 more than we’ve taken in. 

b.   Lodge – No real septic smell!  Men’s toilet upstairs running; need to jiggle handle.  Bobby Kehr will check.  Toilets in upstairs Ladies bath not working properly:  one refills very slowly; the one nearest the wall is not working.  Kitchen sink faucet loose; need to lift from back.  Need to keep path to propane tank clear for deliveries; last week they could not deliver.  Suggestion to update binder re lodge history.  New additional shelving for mudroom to be installed by Vinny Ferraro at work weekend, also hooks by ski holders for gloves; all present agreed it is a good idea. 

c.   Reservations – No real report, but comments that our system works well.  Discussed potential replacements for Sandy.  Liz Kehr indicated she might be able to help out in a few years.

d.   Membership – New provisional member David Stein introduced and welcomed. Total membership is 50, which is lowest it has been in several years.   Discussed ideas for promoting club membership, including posting flyers at Callie’s Corner, Cricket Club, and other businesses, including White Plains businesses like Dave & Joelle Litzky’s new bike shop.  Suggestion made to make business cards to hand out while in lift lines, and post on bulletin board at MRG base lodge.

e.   Trip Leader – No report.

f.    Communications – No report.

4.       Previous business:

a.   Septic smell seems to be abated for now.  We will continue to investigate after snow melt in the spring.

b.   Discussion of the pros and cons of having internet access at the lodge.

c.   Those members present agreed that posting our membership roster on the website is not a good idea.

5.       New business

a.   Art Wilschek is thinking about planning a group ski trip to either Switzerland or Utah next year.

b.   New officers for next year – discussed the need to get more people involved, but no members present would commit to a position.  Discussed the possible need to offer perks (e.g., free weekends, no work weekend penalty, etc.) to entice members to volunteer for officer positions.

5.      Welcome – read minutes from previous meetings ( lodge meeting)

 

6.       Committee reports

 

Treasurer The treasurer's report indicated that we are spending more than we are taking in.  Part of this was the advance payment for gas.  However, we do have a very good reserve of cash.  If we have no further costs related to the septic smell, then all our expenditures will be normal ones.  However, those costs are going up.

 

Lodge - No heat:  Bad igniter was replaced by F. G. White Company in late January.

 

Central Reservations – Weekends of February 11-12 and Presidents’ are filling up quickly.

 

Membership - Membership at this point is about 49 plus provisionals and mailing members. The need for new members is obvious but there was no consensus as to how to attract new ones. Working thru the MRG website and finding potential members that already ski at MRG seems like the best route.

Previous business – Septic smell:  On MLK Weekend, in an effort to find the source of the septic smell problem, Dave Hecht and Vinny Ferraro removed the bench panel under the stairs and found a hole the size of a softball in the foundation, behind which was ‘stinking’ water.  They inserted a pipe and cap, and sprayed foam around the pipe. 

 

During the week of January 17th, our engineer, Gunner, was unable to take a sample of the water.  There was discussion about whether or not this water was coming from the Ramapo septic tank/pipe above our house and seeping into our foundation.  It was suggested that the engineer should be looking into excavating along the front path in the spring to determine where this ‘stinking’ water was coming from.

 

Since then, the smell seems to have abated.  It was detected briefly on the Feb. 4/5 weekend in room 1. (or 2)

 

 

 New business:

 

Officers for next year:  Getting members to fill officer's positions was discussed.  The need to get younger members on the board is apparent.  One of the problems is the far flung nature of our membership with members living too far away to attend meetings.  Mark and Jean Duffy's names came up amongst others.

 Meetings:  We discussed the possibility of conducting meetings via Skype or some such program.  George H and Sandy M are checking into the possibility of conducting meetings on Skype and at the lodge (eliminating Bradhurst).  No one was negative about the idea but the nature of computer meetings seems awkward.  However, it might get members to "attend" meetings and get more involved.  It bears looking into the benefits and difficulties of electronic meetings.  This led to the possibility of having meetings in a restaurant, bar, pizza joint, etc.  If it were more centrally located it might attract members to attend.  It costs about $245.00 to rent Bradhurst.  That money could be applied toward patronizing a restaurant only if could attract more attendance.   Everyone likes the meetings held at the lodge and they feel it sparks more interest.  One idea is to increase meetings at the lodge.

 

 

DSL Internet Access at the Lodge: 

There was another discussion about internet access at the lodge.  In November, Sandy spoke with Kaitlin at Green Mountain Access (888-321-0815).  GMA provides high speed (6mb) DSL internet access (cable is not available in the area).  We must have basic phone service in order to receive internet service.

 

GMA’s current charge for both is $80 per month (includes tax & usage), or $960 per year.  We now pay $480 per year for local phone service only.  The one-time purchase price for a wireless modem is $85.  Fees:  first year with contract is $400 – saves $80, but early termination fee of $175;  Month to month fee (no contract) is $40 with no termination fee. The additional cost of $480 for DSL would be about $10 per membership.  This access could be password-protected to prevent unauthorized use by children, assuming parents monitor usage.

 

Regarding socialization issues when the house is full, it was felt that computer usage would not consume any more attention than the ‘Gameboys’, portable DVD players, books or newspapers currently enjoyed by members and their children.  Some felt it would make the lodge more attractive because members could do their work at the lodge and this would encourage more use of the lodge.  Others felt the increased cost would be prohibitive. In the absence of a full house, members who like to enjoy the lodge in the summer or fall for biking, fishing or hiking would have the ability to access business issues, news, Netflix, etc.

1.     Welcome – minutes from previous meeting, read and accepted

a.    Treasurer - $911.84 in checking, $29,934.35 in MM.  Since June 1, 2010, we have spent $18,783.91 in expenses and taken in $15,906.12 – or, we have spent $2,877.79 more than we’ve taken in.  This is due in part to a slow summer of lodge usage, and having paid the insurance, utilities and property taxes recently.

b.    Lodge – mudroom is for skis, boots and poles only.  Helmets, regular boots and other personal belongings should be in your own rooms.  Keep bathroom neat, and take home your own recyclables.  Ceiling in room 10 has been repaired.

b.    Septic update – Dave, Pam and Vinny – back in November, Dave had been talking to our engineer Gunner about doing a smoke test, which would test for vapor leaks in our venting system.  Gunner and a plumber finally made it out to the lodge over Christmas week, and Vinny Ferraro walked around with them.  They recommended a camera snake test instead of the smoke test (this was in part due to the trap that was installed in the basement last year – gasses should not travel back uphill through that).  The snake test was done shortly thereafter and showed no visible leaks.  That is both good and bad news – a leak would lead to a possible solution!  Gunner then recommended that we open up the paneling in the area just under the stairs, as you go down into the fireplace area.  That area (where we keep the wood) has always been a place where the smell has been the strongest.  Over MLK weekend, Dave and Vinny took off the paneling under the seat, and a fairly large hole is visible in the foundation.  They could see some standing water and it smelled bad.  We now have to get Gunner back in to look at that and possibly test that water; in the meantime, Dave plugged up that hole with a pipe, foam-sealed around the pipe, and put a cap on it.  It will be interesting to see if that stops some of the smell.  We are assiduously pursuing all reasonable avenues to determine the real cause of this smell and what can be done about it.  The process thus far has been mainly a process of elimination, which is both helpful and frustrating.  Be assured that it is a very high priority but all steps leading to a solution have been expensive and we are trying to proceed responsibly and not throw good money after bad.  Member Paul Schwendener asked if there is such a person as a septic “guru”, someone who specializes in diagnosing and fixing these kinds of problems.  We think the septic engineer we have been working with is a close as we’re likely to find in Vermont, but if anyone wants to conduct an internet search for such a person, Dave H. will be happy to talk to them.  We are grateful to Dave for making two trips to the hardware store and to him and Vinny for taking time over their holiday weekend to work on this problem.

a.    Treasurer - $489 in checking, $20,395 in MM.  at this point, we have spent $7K more than this time last year (from May 1, start of our fiscal year), mostly in prepaying propane ($3K), wood ($500), insurance ($1K) and other services, and we took in $2500 less than last year (it was a slow summer for lodge usage, perhaps due to our ongoing septic investigation)

b.    Lodge – the ceiling in Room 10 has been repaired, Norman will ask Mark Haviland to go and take a look.  Rita Hess got pricing on a new dishwasher, we’ll go with one from Bisbees to give them the business.

c.    Reservations – a few names in for Christmas week

d.    Membership – coming in slowly, John says we are behind where we were at this time last year.

e.    Trip Leader – no report

f.     Communications – Erica Wintermuth will be taking over this job from Chet Risio who has done it for two years -  thanks Chet and  thanks Erica!

                                          i.    Most people seem in favor of it, and it’s possible we can get our phone service through the internet service, offsetting the cost.  Nick Dondero had some suggestions, augmented by suggestions from a potential new member who emailed Pam the next day.  Sandy will look into it.

                                         ii.    Sandy got some info from VT internet/phone providers, Nick  brought a device called a thin line which he says we can use  to get phone service from the internet service, as Green Mountain does not provide VOIP.  The general feeling from the meeting seemed to be that we’d go for internet if it would be offset by savings from not paying for phone service, but if we had to pay for both, we might not do that. Sandy and Nick are continuing to research.

b.    Septic update – the smell was slightly present at the last work weekend (mid Oct) but Gunner was not called in to check it out.  Pam and Dave have had difficulty reaching each other, a smoke test to check for leaks might be our next step.

·         Previous Business – March 23, 2010 meeting – read and accepted, with some further discussion about chits.

a.          It was proposed that the number of chits be reduced – discussion ensued.  Some said that over the years, chits have been viewed as an obligation to the club and accepted that if you don’t use them, that’s your decision.  We raised the number of chits two years ago to raise income to offset rising fixed costs (and as opposed to raising dues), and also to encourage use of the lodge.

b.          Chet will contact our cleaning person, Sharon, to tell her that this week will be the last week she should come and clean for the season.

c.          The cook, Christine, has offered to return the card key, in all likelihood we will ask her back for next year.  She may not be the best cook we’ve had but she is amenable to all suggestions and is $400 under budget for the year, even though she worked almost every weekend.

d.          Alan Copeland asked where old records are, and what we should really have and what can be tossed.  George W. knows that there are some records up at the lodge under some bunks, and we think people who have held board positions in the past may have some stuff at home.  We will try to collect it and review it – we should at the least have copies of old versions of the constitution and the old newsletters (Lift Lines).  Some volunteered to look through what’s up at the lodge when they are up there this summer.

a.    Treasurer  - $742 in our checking account, $18.669 in the money market.  Recent expenditures:  We prepaid $3300 for propane with our existing provider, FG White, purchased firewood and paid $800 for the septic engineer.  We reviewed the audit; members can request a copy and submit questions or comments.  We ended up $5K in the black, which is good, as we need to build up a cushion for future expenditures such as our share of rebuilding the bridge, our septic system and some work on the roof

b.    Lodge   - much work was done over Columbus Day weekend.  There was a leak in the roof into room 10, the leak was fixed and Norman will call someone to look at replacing a portion of the ceiling in Rm. 10.  Some rivets need to be replaced on the propane heater, Norman will call.  We’ve also had some difficulties with the motion detector.  Nick Dondero advocates getting a surge protector for the extension cords that run behind the couch.

9.      Previous Business

a.       Continuation of septic discussion.  Request for a description of the club’s septic system.  We have no schematics but MRG re-did the fields 15 years ago or so, George Wintermuth suggests that we talk to the MRG Homeowners Assoc to see if they will be part of our solution – he and Dave Hecht will talk.

b.      Request that club members be allowed to carry over chits to next year due to the smell.  Some objections and some support.

c.       Pam ran into Ray from (Hartford?  Whiz?), who had organized the last club Meet and Greets with us, up at MRG a few weeks ago.  He asked if we were interested in organizing another event for March – I said yes, we were, but had not done anything about it.  At this point, unless someone wants to move on this quickly, and with our smell problem, it does not seem likely but we can try again for the Fall.  (Both WPSC and his club got at least one member from our last two events)

Welcome – minutes from previous meetings were read and accepted.

 

Committee Reports:

 

Treasurer - John O’Donnell reports that Income YTD is at $25,932.59 and Expenses YTD is $22,433.71.  Checking account balance is $344.14 and we have $30,970.91 in Money Market account.

 

Lodge  -  Norman Masri reported that the smell has decreased.  When the frost is gone, we will check further.  George Wintermuth thinks the smell is coming in from the septic fields through the doors.  Vinnie Zimnoch stated that the smell “is not as bad as it was”.  Sandy Maguire stated that a member is not bringing up guests because of the smell. 

 

Central Reservations – Sandy Maguire:  All members are reminded that payments for previous lodging must be up-to-date before they can make additional reservations.  Payment is due immediately after your trip.

 

Membership  - Janet Rubinstein:  We have six provisional members this season.

 

Trip Leader  - Mark Duffy:  No report.

Previous Business:

Continuation of septic discussion and possible causes and cures.  Norman summarized actions, expenditures and status to date, indicating that no further action is possible until spring when a state-licensed engineer will be hired to conduct a complete survey, etc.  Additional comments from the floor included:

 

 A request for a description of the club’s septic system, what the club owns and is responsible for, and what portion is shared with the MRG and other property owners. 

 

A request that club members (due to the smell) be allowed to carry over chits to next year. One or more members objected to this on the grounds that it was no different than a poor snow year. The requester and others did not agree.

 

 

 

New Business:

Pam Ferraro has requested that she and George Hess to be placed on the ballot as President and Vice President for another year.  Those present at the meeting were asked to vote on this, but George Wintermuth said that he thought that the constitution required that a special vote by the membership is necessary and all members need to be advised that a special vote will be held on a specific date in the future. The floor moved and accepted that the vote will be held at the next monthly meeting.

 

Due to the septic smell problem, there will be no ‘Meet & Greet’ for new prospective members in the lodge this year.

11.   Welcome – minutes from previous meetings read and accepted

Treasurer - $21,695 income YTD, $17,787 expenses YRD.  $722 in chicking and $30,873 in money market.

 

Lodge  - switch in ladies room not working, Mark Haviland will replace.  Fan in kitchen not working; Vinny fixed but should be on the summer’s ww agenda.  We need firewood – having it delivered is problematic because it would just get dumped in front of the house and it will be hard to get it stacked properly in the back.  Members are asked to bring up wood if they can so we can make it last the rest of the season.  Septic update:  On Saturday, February 6th, Sue Lazarus, who works for the Department of Veterans Affairs establishing safe environments, used a device to determine if the smell is damaging and also its origin. The device, in lieu of proper nomenclature we'll call a "SmelloMeter", gave zero readings for methane, carbon monoxide and hydrogen sulfide. However, using another device she was unable to find the smell's origin.

 

At the February 9th meeting there was considerable discussion as to how to solve this problem. There are as many solutions as there are members and some are very expensive. As of now the club has spent $1,400 employing plumbers, septic and propane services all of which have failed to find a definitive solution. These efforts have, at least, eliminated some possibilities. Excavation for a possible broken pipe will have to wait for the spring thaw.  That is seven weeks away.  Until then members are urged to be patient.  So far the smell has not diminished anyone's enjoyment at the lodge.

 

Also, as previously stated, cleaning products containing bleach and antibacterial ingredients have been removed from the lodge and our cleaning person is on board with not using them as well.  PLEASE do not bring up or purchase items with those ingredients.  Also, Scott tissue paper is the only toilet paper that should be used, as it is safe for septic systems - do not buy any other kind.  While we search for the cause of the smell, let's do all we can to keep the septic system working properly.  Also, when you are at the lodge, small steps definitely help; crack a few windows open and light scented candles.  If you have any scented candles at home that you don't use, consider bringing them up to the lodge.  The kind in a glass container, like Yankee candles, are the safest and work well.

 

Future steps, which may have to wait until spring, include using a camera snake in both the roof vent and the downstairs pipe, using a powder that identifies leaks in the system and a powder that you sprinkle on top of the ground to identify leaks.

 

Also, it has been observed that people have been throwing food outside, off the balcony outside rooms 9 and 10.  This is dangerous because it will attract bears and other unwelcome attention.  All food must be disposed of only in garbage bags, and only in the cans in front of the lodge.

 

Also, kitchen utensils have gone missing, please do not remove anything from the lodge and if you use something, put it back where you found it.

 

Last thing, in the absence of using a physical trap or poison, we need some kind of pest control.  There are electric ones that use soundwaves to keep pests away, Vinny F. bought one and Rita Hess uses another kind at home.  Vinny will do some more research and then implement one or more up at the house.

c.       Trip Leader  - no report.  Cook still making too much food, Pam will communicate with her.  Otherwise she’s working out fine.

a.     Minutes from previous meeting:  Treasurer  - passed out copies of audit.  $937.82 in Checking, $19,694.81 in the moneymarket.

b.    Lodge – most staining is done at the lodge, there is mostly just general cleanup to be done at the last work weekend.  Still dealing with the septic smell. The Season at a glance sheet recently sent out to the membership has an error, the work weekend penalties should be $75 and $150, not $60 and $120.

c.    Highlights from recent MRG Homeowners meeting:  Pam and Chet attended the homeowner’s meeting over Green and Gold weekend.  A report from MRG Cooperative President Jamey Wimble says that preseason sales are good and ahead of last year YTD.  Called last year “sub par”.  Regarding the bridge, he had an engineer and two contractors look at it, it’s OK for another year or two but it will happen and we will be assessed at that time.  Any heavy vehicles (i.e. construction, etc) that have to access Schuss Pass should go around the back, by Amateur.  The association is looking to raise another $5K to name a tower on the single chair.  They reminded clubs that they can still donate!  The Mad River Path association reported that they are seeking donations to support the group and their efforts to create a path connecting Moretown to Warren.  Also, don’t throw food outside; many bears and moose were spotted this summer and are active and present on the mountain.

d.    No antibacterial soap!

a.    Treasurer  - $71.66 in checking, $22,211.32 in money market

b.    Lodge  - septic smell;  several plumbers have been called in to find out what is causing the “septic” smell in the lodge.  One person said that the 40+ year old cast iron pipe leading out of the house has collapsed and is leaching waste into the ground, would need to be dug up and replaced for a cost of about $4000.  Two other plumbers were consulted and both said that nothing is wrong with the pipe and nothing needs to be done.  We will go with that opinion for the time being.  One thing that might be happening is that the rat poison that is around the house might be making animals go off and die in the walls; the poison will be removed asap and replaced with regular mouse traps and that might help.  We have already spent $800 on the plumber’s visits.

a.               The discussion about recruiting new members led to a general discussion about membership – lodge usage, issues with current provisional members, member retention, and recruiting new members.  Several issues were discussed, such as the difficulty of getting people to sign up as trip leaders.  Having regular members back out of some winter weekends has made it difficult for provisional members to attend, and it was pointed out that in the past, it was mandatory for trip leaders to attend the weekend for which they had volunteered.  All agreed that further discussion and research is warranted to examine roadblocks that are currently hindering members from using and enjoying the lodge.  The board will take this up in our summer meetings.

b.              It was suggested that the next club meeting, scheduled for April 28, be turned into an executive board meeting and all were in agreement.  Norman reminded us that any member is welcome at a board meeting to hear what’s going on or to voice an opinion, but they cannot vote.  So, April 28 at Bradhurst will be a board meeting but any member is welcome to attend.

c.               Generator – Nick Dondero had some suggestions for instances of power failure until such time as we might get a generator.  He had a large flashlight (and it was mentioned that members are well advised to bring their own flashlights for such cases) and a space blanket for personal warmth.

d.              Sandy is planning a hike, a temporary date of May 30 was set and the possible location of Muscoot Farm.  More info to follow.

 

 

·         New Business

a.    The Season at a glance sheet recently sent out to the membership has an error, the work weekend penalties should be $75 and $150, not $60 and $120.

b.    Highlights from recent MRG Homeowners meeting:  Pam and Chet attended the homeowner’s meeting over Green and Gold weekend.  A report from MRG Cooperative President Jamey Wimble says that preseason sales are good and ahead of last year YTD.  Called last year “sub par”.  Regarding the bridge, he had an engineer and two contractors look at it, it’s OK for another year or two but it will happen and we will be assessed at that time.  Any heavy vehicles (i.e. construction, etc) that have to access Schuss Pass should go around the back, by Amateur.  The association is looking to raise another $5K to name a tower on the single chair.  They reminded clubs that they can still donate!  The Mad River Path association reported that they are seeking donations to support the group and their efforts to create a path connecting Moretown to Warren.  Also, don’t throw food outside; many bears and moose were spotted this summer and are active and present on the mountain.

a.    Treasurer  - $30,766.74.  Our fiscal year ends on May 31 and we have one last outstanding bill for insurance, approx. $2,000.

b.    Lodge  - Norman announced the following 2009 work weekend dates:

June 20/21, July 18/19, Aug. 8/9, Sept. 12/13, Oct 17/18.  He will create a job list and it will be posted on the website.

c.    Central Reservations  - some members owe outstanding lodge fees, no reservations at this time, lodge is wide open for spring adventures!

d.    Membership – no report

e.    Trip Leader – no leaders

f.     Corresponding Secretary  - no report

 

·         Previous Business

a.    It had been reported that a “septic” smell was present in the lodge during some weekends, Norman says that the septic company did not drain the system in the fall as they usually do and he will make sure that is done annually going forward.

b.    Member recruitment weekend – Marc and Janet Rubinstein had organized a meet-and-greet weekend in March.  Vinny Zimnoch was also there and reported we got a decent showing.  It will be better to try to organize this kind of event earlier in the year next year, like January.

a.         Elections were held for the 2009 – 2010 season.  Janet Rubinstein was not present so until she can report on the voting results the following are announced as officers with that temporary proviso:

a.    Sandy raised the question of this year’s increased guest fees, which increased from $20 to $25 per night per guest this year.  She has a family friend who was thinking of attending, but for a family of 5, $125 per night seemed steep to her.  Are we losing guests due to this increased fee?  General consensus seemed to be that it is hard to find lodging for about $100 a night in the Mad River valley, and we are close to the slopes and our meals are less expensive, etc.  Still, anyone who gets negative (or any) feedback about guest prices, please pass that along, it may be the only way we can gauge if the fees have a positive or negative effect.  We also discussed, again, having guest fees rebated in some form or other if the guests become members that year – the board will take that up this summer.

b.           Next weekend, inter-club meet and greet.  MRG is helping promote a meet and greet to make folks who ski at MRG aware of the ski clubs on or around the mountain.  There is a listing on the MRG event calendar that reads:  All of Mad River Glen's on-mountain Ski Clubs are coming together to host an open house night after skiing on Saturday March 14 from 4 to 6 PM. If you are unaware, Mad River Glen has seven ski clubs with houses on (or very near) the mountain. All of them have a rich tradition and history here at Mad River Glen. They are working together to raise awareness of the clubs among the Mad River Glen community. Anyone with an interest is invited to come by and visit the clubs that day. Mad River Glen's on-mountain clubs are: Amateur Ski Club of New York Garden City Ski Club Hartford Ski Club Montclair Ski Club North Jersey Whiz Skiers Ramapo Ski Club White Plains Ski Club.  There is also a link to all clubs from the MRG website under “visitor Info”.  We agreed that this is a good start to increase awareness among MRG skiers and we should try to do it earlier in the season next year, like January.

c.          50th anniversary poster – Pam bought a MRG 50th anniversary poster, which will be hung next to the 25th poster we already have up at the lodge.  Unveiling to happen sometime this spring.

d.          Two prospective members were at the meeting, brought to us via the MRG on-mountain ski club link from their website.  One family joined, the DePaulis family, and another is very interested.

b.    Policy for replacement keys:  Please understand that replacement keys cost more than the initial $5 charge.  If the key does not work, please return it to Janet and she will send a free replacement (this rarely happens).  If the key is cracked or broken, the broken key must be returned to Janet with a check for its replacement cost of $5.00.  If the key is lost, it must be reported to Janet immediately and she will issue a replacement only after I have received a check from you for $15.00.  Please guard your key carefully!  

c.    More discussion about generators, they vary greatly in capacity and price and general consensus still seems to be that although we do lose power once in awhile, it’s not usually for more than an hour or two at a time and it would be a great expense to purchase a generator for those infrequent occasions.

                                          i.    A festive gala for the 60th anniversary of MRG is planned for Saturday January 31st.  Tickets are $35 and be ordered online through the MRG website. 7 – 11 pm at the basebox.

                                        iii.    Other spring events – is anyone interested in a day hike?  Picnic/softball game?  Dinner dance?  We talked of a hike in the spring, a 3mile route that Sandy knows of in Katonah, she will look into it.

The meeting basically reprised the previous Tuesday’s meeting at Bradhurst, with some additional conversation at the end.  New member Dave Wilson was welcomed to his first visit to the lodge, and for several members in attendance, this was their first meeting this year.

  •  Committee reports
    1. Treasurer  - $18,574.93 in combined accounts
    2. Lodge  - skipping cleaning when not needed.  There was some discussion about what to do when the power goes out, which it does intermittently.  Norman has looked into a generator but the easiest kind to operate (push button) will cost about $3K.  Stan Cichoki said there are other kinds, for about $600, which would power everything except the ovens for a short time. In the meantime, if members can bring up any candles that they may have at home that they don’t want, we are going to store them in a box in the club supply storage area to the right of the refrigerators.  There is also an oil lamp on the top shelf of the boot storage rack in the mudroom.
    3. Central Reservations  - 32 for MLK weekend, cook for sat and sun
    4. Membership – 22 regular families, 5 single family, 12 single, 2 provisional for a total of 41.  Dunn not rejoining read email.  Roster emailed out today

Vice President George Hess started the meeting at 8:10pm with the Pledge of Allegiance.  There were 12 members in attendance.

 

George Wintermuth, Treasurer, reported that we have $18,374.61 in our account.  We have prepaid the trash account for the year 2008-09 - $396.

 

Norman Masri, Lodge Chairman, reported that the hole in the kitchen ceiling has been repaired, the burners have been serviced for the winter, and a new wood cradle has been purchased.  We are checking the whereabouts of the Phillips screwdrivers, etc.  Also, a belt on the vacuum in the mud room needs replacing.

 

Sandy Maguire, Central Reservations/Webmaster, reported reservations are open.  The password protection has been taken off the home page of the website to allow public access to all links except reservations (members should use the same ID and password as previously).  We are waiting for Yahoo, Google and MSN search engines to index our site.

 

Vinny Zimnoch, Trip Leader Chairman – no report.

 

Old Business:  Welcome to Winter party still needs a coordinator for December 7th.  Work Weekend penalty is in effect for 2009 – Single $75, Family $150.

 

New Business:  Marc Rubinstein, Membership, spoke with Ramapo regarding open houses at all ski clubs in area to promote membership.

Meeting was opened at 8:05 pm by President Pam Ferraro, who led the members in reciting the Pledge of Allegiance.

1.       Committee reports

a.       Treasurer – $16,736.82 in checking/savings account.

b.      Lodge – work weekend report – it seems the upstairs men’s room floor and downstairs kitchen and dining room floors were not given a final cleaning at the last work weekend.  Anyone can go up and do this before the first weekend in Dec. and receive work weekend credit.  Further staining of the outside will have to wait until next year.

 

It was suggested that the cleaning people are not doing a great job and might not be necessary any more, that members should do the assigned jobs.  It was agreed that members ought to, but don’t always, do a great cleaning job.  Future trip leaders should stress the importance of these tasks and try to check that they are completed, and members who might be at the Lodge when the cleaning people are there can keep on eye on them and how well they are cleaning.

c.       Central Reservations – fax machine and new procedure for confirming bedlist.  We should try to move the machine off the work bench; perhaps install a shelf for this purpose where the mirror is now in the mudroom.  In the meantime, if you need to work on your skis, there is enough cord on the fax machine that you can move it onto the floor, out of the way, while you work.

d.      Membership – We are so sad to report that longtime member Ernie Basso passed away.  Chet sent an email, service this Friday 10/31.  Many members attended Gordon Hecht’s wake and service and the club made a donation in his memory to a hospice service, at the family’s request.  At the start of the meeting, there were 5 regular families, 1 single family and 2 single membership renewals.  Two new families attended the meeting, intending to join – thanks to Dave Litzky for bringing them in!

1.      Previous Business

a.       The bridge at Schuss Pass will be repaired in 2009.  The estimated cost of $27,500 will be shared by the coop (60%) and the homeowners and clubs (40%).  Each club will be assessed $1255.  If anyone wants to see the email from the coop board with this info, let me know and I’ll email it to you.  Also pass out fall coop letters.

b.      2008/2009 increases – these are not rate increases but adjustments to help ensure that we maintain a healthy balance sheet.  The following were discussed, and discussed some more, and voted on by the board this summer:

-          increase Advance Trip Deposit (chits) from $96 to $128 for a single membership (two more nights) and from $192 to $256 for a family membership (four more nights).  This will increase cash on hand at the beginning of the season and encourage use of the lodge during the season

-          increase work weekend penalty from $60 to $75 for a single member and from $120 to $150 for a family membership (this would take effect in 2009). (wording changed from’ until after the 2009 work weekends are completed’).

-          increase the initiation fee for new members from $100 to $250 for a single member and from $200 to $500 for a family membership

-          increase guest fees during the season from $20 to $25 per night

c.       other amendments:  change to wording about guests.  Guests can now, at the club’s discretion, bring children under 5 years old.  This should help encourage some new families to visit the lodge and consider membership.  However, the members who bring these guests are responsible for informing guests about acceptable and unacceptable behaviors (leaving toys around, noise level, etc).  Wording will be changed to item 11 in the Reservations section of the online “blue book” that says “Guests are expected to follow all club rules”. 

d.      New members!  We need new members.  Pam will design a flyer that you can distribute to interested friends to inform them about the club and drive people to the website for more information.  We will change where the password appears in the website to protect members’ private information.  Please invite friends to meetings, have them call Pam for more info, and invite them to the Lodge as guests.

e.       Please keep going to the Lodge!  Volunteer to be a trip leader and/or organize a social event for a weekend.  It doesn’t have to be elaborate but even the smallest “theme” can be fun.  Please come to meetings, and please use the Lodge.

f.       Don’t forget to post your stories on the WPSC blog.  We will create a set of instructions that you can follow in case this is new to you.

g.      Welcome to Winter party– scheduled for Sunday, Dec. 7, 5 – 8 pm.  Need volunteers to help coordinate.

a.       Need to strategize about attracting new members.  Pam passed around some info she had found about how other clubs market themselves on the internet.  Most members present seemed to think that we can safely remove the password from our website, which would open it up to outside people who might be looking for a club like ours.  We need to look for ways to cross-market the club with other groups – biking groups, ski shops, etc – who might have customers or members who would be attracted to the WPSC.  Keep the ideas coming!  Dave Litzky also stressed that weekend ski trips should have some fun theme – if the trip leader can’t do that, someone else can do it.  It doesn’t have to be elaborate – something simple that people can look forward to works very well!

14 members attended the meeting at the Bradhurst Park and Recreation Center.  President Pam Ferraro opened the meeting at 8:10 pm with the Pledge of Allegiance.

 

Committee Reports

 

  Membership:  Marc Rubinstein attended, representing Membership Chair Janet Rubinstein.  At the opening of the meeting, we had no new members. J.  At the close of the meeting, we had approximately 3.  Membership forms are available online, please print them out and send them to Janet with your payments.

 

  Treasurer:  George Wintermuth reported that there is $15,328.15 total in savings and checking, which is normal for this time of year.  He distributed the audit (extra copies available, will have them at the next meeting).  Lodge expenses are rising; taxes, gas, electricity, and insurance costs will be approximately $2000 more than last year.

 

  Lodge: Work weekend tasks have been well executed so far this year; last weekend details include a thorough cleaning of the lodge as well as some exterior staining and painting if the weather cooperates.  Next year, the fire escapes need to be redone.

 

  Central Reservations/Web Master:  Sandy was not present at meeting but Pam Ferraro reported that there is now a fax machine in the mudroom.  The purpose of this fax is for Sandy to fax up bed lists on Friday afternoons, in case there are changes in room assignments.  If you are the first one to arrive on a Friday, look for a fax, tear it off and pin it up on the bulletin board.  If there are message on the phone attached to the fax, you can listen to them (they are probably hang-ups) and then delete them.  Please do not use this fax for personal uses.  Many thanks to Nick Dondero who donated and set up this fax machine!

  

  Trip Leader:  Vinny Zimnoch, no leaders assigned yet.  Please call Vinny when you are going to the lodge to volunteer to be a trip leader!

 

Old Business:  Our cook, Jim, our caretaker, Mark Haviland, and our cleaning person, Sharon, have all been renewed for this coming season.  Also, all personal items that were left in the mudroom over the summer have been removed.  Please do NOT leave personal items in the mudroom after you leave the lodge, especially ski or other sports equipment.

 

New Business:    

a.       The bridge at Schuss Pass will be repaired in 2009.  The estimated cost of $27,500 will be shared by the coop (60%) and the homeowners and clubs (40%).  Each club will be assessed $1255.  If anyone wants to see the email from the coop board with this info, let me know and I’ll email it to you. 

    1. 2008/2009 increases – these are not rate increases but adjustments to help ensure that we maintain a healthy balance sheet.  The following were discussed, and discussed some more, and voted on by the board this summer:

-          Increase Advance Trip Deposit (chits) from $96 to $128 for a single membership (two more nights) and from $192 to $256 for a family membership (four more nights).  This will increase cash on hand at the beginning of the season and encourage use of the lodge during the season

-          increase work weekend penalty from $60 to $75 for a single member and from $120 to $150 for a family membership (this would not take effect until after the 2009 work weekend are completed)

-          increase the initiation fee for new members from $100 to $250 for a single member and from $200 to $500 for a family membership

-          increase guest fees during the season from $20 to $25 per night

There was discussion about the increased initiation fee for new members.  Since there are no provisional members at this time for which this would apply, we will continue to discuss and investigate:  Pam will try to contact other clubs to see what their fees are.  We also discussed shortening the provisional period from two years to, possibly, consideration for membership after a provisional has attended 4 club meetings and attended 4 organized Lodge trips.

    1.  Other amendments:  change to wording about guests.  Guests can now, at the club’s discretion, bring children under 5 years old.  This should help encourage some new families to visit the lodge and consider membership.  However, the members who bring these guests are responsible for informing guests about acceptable and unacceptable behaviors (leaving toys around, noise level, etc).  Wording will be changed to item 11 in the Reservations section of the online “blue book” that says “Guests are expected to follow all club rules”. 
    2. New members!  We need new members.  Pam will design a flyer that you can distribute to interested friends to inform them about the club and drive people to the website for more information.  We will change where the password appears in the website to protect members’ private information.  Please invite friends to meetings, have them call Pam for more info, and invite them to the Lodge as guests.
    3. Please keep going to the Lodge!  Volunteer to be a trip leader and/or organize a social event for a weekend.  It doesn’t have to be elaborate but even the smallest “theme” can be fun.  Please come to meetings, and please use the Lodge.
    4. Don’t forget to post your stories on the WPSC blog.  We will create a set of instructions that you can follow in case this is new to you.
    5. Welcome to Winter party– tentative date is Saturday or Sunday Dec. 6 or 7.    Any volunteer to run it?  J

  Treasurer:  George Wintermuth reported that there is $29,579.11 total in savings and checking. 

 

  Lodge: Norman Masri reported that all the light bulbs have been changed to power saving fluorescent.  There is a minor misalignment of the front door lock.  Members should pull the door forward (toward yourself) when locking.

 

  Central Reservations/Web Master:  Sandy Maguire reported that the MRG ski season has ended.  There is plenty of room at the lodge for fishermen, bikers, hikers, swimmers, etc.

  

  Trip Leader:  Vinnie Zimnoch reported that many reservations were made at the last minute.  Tom Maguire again suggested a fax machine for these last minute bedlist changes.

 

Old Business:  A few members had to be reminded a number of times that payment was due.  Members should send payment to Sandy during the week following their stay at the lodge.

 

New Business:    

 

Work weekends this year are June 21-22, July 19-20, August 9-10, September 13-14, October 18-19.  Nick and Jo Dondero will steam-clean the carpets in October.  Rita will clean the blankets.

 

Anyone going up to the lodge must notify Sandy by phone or email, and receive a confirmation.  Members and/or guests who are found at the lodge without Sandy’s confirmation, will be penalized.

 

We need new members – non-skiers are welcome; the lodge is available for year-round activities.

Membership:  Janet Rubinstein reported   25 regular members, 5 single family members, 14 single members, 4 provisional, 6 mailing members and 3 honorary members were reported.

 

Treasurer:  George Wintermuth reports there is $25, 829.80 total in savings and checking. 

 

Lodge:

  1. South balcony stairs are pulling away from the landing.
  2. Room 9 has condensation when blankets are placed near the far wall.  NO NOT PUT BLANKETS AGAINS THE WALL TO AVOID CONDENSATION.
  3. Grease odor in house:  To eliminate the odor, members are asked to put used grease in can and cover with tin foil and leave in foyer until frozen, then place in garbage.

 

Central Reservations/Web Master:  S. Maguire reported there are beds available for upcoming weekends.  Sandy provided a report covering the last two years of lodge use.  There has been a definite decline from last year, but the season is not over yet.

 

Trip Leader:  Vinny  Zimnoch  reported D. Hecht did a great job as trip leader over the Feb. holiday.

 

Member update:

A WPSC donation will be given to Holiday Mountain Ski Patrol in honor of long time member Dick Terwilliger who passed away this February.  Dick was a member of the Holiday Mountain Ski for 50 years.

The WPSC also sends its condolences to Norman Masri , whose wife Halina, passed away this March.  A fruit basket will be sent to Norman on behalf of the club.

Announcements from the President

The vice president read the minutes from the January 8, 2008 meeting.  The minutes were accepted by vote.  The vice president shared stories about Martin Luther King weekend at the club.  The lodge was filled to near capacity with a  good mix of members. A special thank you was mentioned for Pam Ferraro who was trip leader and organized a wonderful après ski gathering/remembrance of Dr. Martin Luther King, Jr.  Young and “old” alike joined in the activity.

Committee Reports

 

Membership:  25 regular members, 4 single family members, 13 single members, 3 provisional and 6 mailing members were reported.  It was also noted that the numbers are about the same overall.

 

Treasurer:  George Wintermuth reports there is $23,197.55 total in savings and checking. 

 

Lodge: No formal report.  The cook is preparing wonderful meals and working out the kinks on portions.

Central Reservations/Web Master:  There are beds available for upcoming weekend.  President’s weekend is fully booked with a waiting list, too.  The rest of February remains pretty open.

Trip Leader:  no formal report. Bogey will be trip leader this weekend.

 

Old Business:  There is a need to recruit new members.  It was noted that a letter will be drafted by president and mailed to members about recruiting new members. Marc Rubenstein offered that we try to solicit/recruit new membership from the MRG coop members. George Hess offered the idea of hosting an Open House.   The front door lock has been fixed.

New Business:  Chet Risio thanked Sandy Maguire for putting The Way We Were, a photo gallery of the 50th anniversary of the club celebration,  as a link on the club’s website.  Special prayers go out to Dick Terwilliger as he is very ill.

Central Reservations/Web Master:  no official report.  It was noted that MLK weekend is full with a wait list.

 

Trip Leader:  no report. It was noted, though, that the trip leader will  have the final say on what to tell the cook to prepare.  It should include EITHER soup or salad to try to save cost.

 

 

Old Business:  There is a critical need to recruit new members.  Letter will be drafted by president and mailed to members.

Committee Reports

 

Treasury- There is $18,121.57 in total monies.

 

Lodge- Kitchen ceiling will be repaired.  Heat was out over the weekend. Servicemen were called and worked into the night to fix on Dec. 7th.  Heating aquastat was changed. Boiler should be working.  Vinny to call White’s and investigate what the boiler problems are specifically.  Mark Haviland will be asked to stop in frequently to test the heating system to ensure that the pipes don’t freeze and burst.

 

Central Reservations- Sandy Maguire reported that there is still room for Xmas week.  A reminder about canceling 2 weeks before a holiday is necessary to cancel without penalty.

 

 

Trip Leader- Vinny will be making his calls ASAP.  Members should be ready and willing to help out.

 

Membership-39 total paid members.  Two new provisionals, Jeff Frey and Noam Shoshan, were introduced.  An action point was made for membership to contact members who did not yet renew to determine if they will be renewing this year.  Rita and Chet offered to help with the phone calls.

 

New Business-  Welcome to Winter party a success. Special thanks to Pam Ferraro for running it.

Dave Litzky spoke about reviving old club traditions like Lift Lines, apres ski parties, and themed weekends.  Some could be asked of trip leader, while others Dave will spearhead.

Lodge:

Heating has been repaired.  Club was charged one for one visit by service man.  Fire extinguishers have been checked and the one downstairs on the post needs to be replaced.

George Wintermuth will take care of replacing ceiling tile in kitchen.  Nick Dondero replaced electric outlet in room #2.  It was noted that all night light receptacles be replaced on the second floor this year, or as part of next summer’s work.

 

Central Reservations/Webmaster:  40th anniversary party:  57 paid attendees.  Welcome to winter TBD…Plenty of rooms available for the upcoming season.

Treasurer:  George Wintermuth reports there is $12,307.59 total in savings and checking.  George presented the financial statement and it was accepted by member vote.

 

 

Lodge:  All yearly maintenance work has been completed.  There is a problem currently with the heating and hot water system.  Both are shut off.  Boiler is out. Norman will look into purchasing a service contract with Whites, since the service calls are getting  expensive.

            A ceiling tile  needs to be replaced in the kitchen, as a toilet in the women’s bathroom had been leaking, causing damage to aforementioned tile.

            There is plenty of firewood ready to be used.

 

Central Reservations:  There are a few reservations for Christmas week and Martin Luther King weekend  and President’s weekend.

 

Trip Leader:  no report

 

Web Master:    53 people thus far have signed up for the 40th anniversary of the club party.  Jo Dondero has offered to provide the projector that is needed.  A report from the home owners’ meeting was shared, including the solicitation of a donation to the (new)single chair campaign.

The minutes of the April 10th, 2007 meeting were read and approved with the following modifications: The date of the meeting was revised to read April 10, 2007.

 

Committee Reports

 

Membership:  No change since the last meeting

 

Treasurer:  George Wintermuth reports there is $25, 530.64 totals in savings and checking.  It was discussed that the executive committee should look into lodge use and numbers for the past season to determine whether or not the rate changes and rules were effective.  It was noted that the club has been running about $2000.00 ahead of last year at this time.

 

Lodge:  Work weekends were announced by Norman Masri. They are:  June 23 and 24, 2007, July 21 and 22, 2007, August 11 and 12, 2007, September 8 and 9, 2007 and a tentative 5th weekend of September 29 and 30, 2007.  It was noted that the 5th weekend should not conflict with Green and Gold Weekend, nor should it be too late in the fall.

 

Central Reservations:  No report (no new reservations as of this week)

 

Trip Leader:  there is no more need of a trip leader for this season.  Vinny Zimnoch reported that he had many volunteers over the season and thanked Rita Hess for restocking the supplies traveling to Casco in Winooski in order to do so.  Vinny mentioned that the system seems to work best when a person is designated to the job.

 

The recycling bins were also mentioned.  Everyone still needs to bring home their own recyclables, and use the bin for club recyclables and the trip leader will be able to bring home a bin that is full.

 

Web Master:  Sandy Maguire reported that there are video links on the web page. It was noted that the web page was a huge success this year.

 

Old Business:  None

 

New Business:  Possible spring brunch to be held at West Point Officer’s Club.  Details will be looked into. It was noted that the 40th anniversary of the ski lodge is December 2007.  A suggestion was made to mark this occasion.  Ideas include marking the anniversary at the Welcome to Winter party and during Xmas week 2007 at the lodge itself.

 

Election results:  out of 20 eligible voting members, 20 members voted for the slate unanimously.

 

Executive Committee scheduled summer meeting dates and locations: May 23, 2007 (DeFrancesco Home) and June 19, 2007 (Lazarus construction site/home).  Both meetings to begin at 8pm.

Lodge – Due to the closure of MRG for the season the cleaning service has been discontinued and the member refrigerator has been disconnected. Shovels were left outside by a member or guests and they were destroyed by the snow plow.  Please ensure items are put away promptly after use.  Work weekends will be scheduled in the near future. There is a pile of logs that needs splitting. A suggestion was made to rent a log splitter but some members felt the logs can be split manually.

The minutes of the December 12, 2006  meeting were read and approved with changes.

 

Committee Reports

 

Membership- The current membership:  27 regular family, 3 single family, 17 single, 3 provisional and 4 mailing memberships have been collected to date.

 

Treasury- George Wintermuth reports there is $18,628.60 in savings and $1,699.04 in checking.

 

Lodge – The compactor bags fit and work in the compacter.  Trash bags do not work in the compactor.  Please make sure the appropriate bags are used.  There are still three blankets missing.  Due to a lack of snow the housekeeper did not clean the lodge during December.  It was decided to adhere to the current schedule of weekly cleanings as the lodge is being used on the weekends.

 

Central Reservations- Presidents weekend is full but there are still vacancies midweek. Please check the website for availability. The cancellation policy was temporarily suspended for Martin Luther King weekend due to a lack of snow. 

 

Web Master- Sandy Maguire requests photos for the website.  The meeting minutes will also be posted on the website in the future.

Rita Hess received a Christmas card from Gordon North and his family is well.  Judy Wintermuth announced that there are currently airfare and condominium deals for a ski vacation in Vail.  Contact Judy for further information.

The meeting was called to order by the President, Sue Lazarus, at 8:19 PM. There were 14 members in attendance.

After the salute to the flag the minutes of the last meeting were read and approved. There was a small discussion about compactor bags not fitting the compactor.  A matter that will be addressed.

Jo Dondero was thanked for again running another successful Welcome to Winter party. As a token of the club’s appreciation, the president gave Jo a bouquet of flowers. Jo reported that 35 adults and 6 children attended. The gross was $250.00. Expenses were $137.00 for net gain of $113.00.

Jo commented that there initially was a poor response to the party. As of Sunday, Dec. 3rd, there were only 9 people signed up. She had to call all the membership to urge them to attend. This was very time consuming. Most members were waiting for an Email announcing the party. The information was on the WPSC website. Members were advised to check the site rather than wait for an Email.

Webmaster Sandy Maguire confirmed that the home page now has links to everything including up coming events and photo op pages. Photos of the party are displayed as are some excellent photos by Tom Maguire. Sandy said to print the complete bed list members should go to “Print Preview” and click on “Landscape”.

Janet Rubinstein reported that there are 27 regular family members, 2 single family members, 16 singles, 3 provisionals and 4 mailing members.

George Wintermuth announced that there is now $12,789.31 in the treasury. He reported that major bills were paid up: Taxes of $5,527.75 and the quarterly insurance premium of $871.50.

Norman Masri reported that the large dead tree behind the lodge was cut down in September and next year he will rent a log splitter to provide firewood for the lodge. He also said that three blankets are still missing and that the Whytes service man said that the igniters for the water heaters should be replaced every year. Vinnie Zimnoch reported that a new relay was installed on the front door battery backup.

Rolandas Ciubatiuk and Dan Klimas installed tiles on both men’s showers to eliminate the mold problem. This condition does not exist in the women’s showers. Several women expressed a desire to see the tiles. Several men volunteered to escort the women to the men’s room. The president said she would just change the signs on the doors.

Central Reservations said there were openings on Christmas, New Year’s, Martin Luther King weekends. Presidents’ week has 33 people signed up.

Trip Leader chairman Vinnie Zimnoch said that trip leaders should buy the large cereal boxes rather than the small individual ones. An alternative to that would be the purchase of a supply of cereal at Costco.

Old business: Sandy said that members should check the web site constantly for club information.

New business: Mad River Co-op is hosting a party for Co-op members on Thursday, Dec. 28th in the base box. Sharon, our cleaning lady, will soon start bathroom and kitchen clean up every Thursday.

The raffle was won by Orest Daszo. The meeting was adjourned at 9:04 PM. The Executive board met immediately afterward.

Committee Reports

 

Membership- Marc Rubinstein reported the following breakdown for membership:  61 adults, __ provisional, __ mailing members. 18 family memberships, 61 adult memberships and 2 provisional memberships have been collected to date.

 

Treasury- George Wintermuth reports there is $20, 762.60 in savings and 572.57 in checking

 

Lodge  Rita Hess reported the following for the final work weekend of the season:

  • All wood was stacked
  • Men’s Bathroom wall was insulated, sheet rocked and tiled
  • Pillow cases, mattress covers and blankets were washed
    • Note: Missing 3 blankets, quilted mattress cover for room one and a set of red sheets.
    • Action Point:  To be noted in Liftlines just in case someone took them home to be washed.
  • ? Reported Mr. Dondero that due to Burner Failure? The procedures to reset the burner is posted in the Mud room under the phone numbers

 

  • Trash Compactor:
    • It was noted that the new bags for the trash compactor don’t fit properly causing an increase in the amount of garbage generated (not compacted so doesn’t fit as well in outside garbage containers.  L. Cantamessa noted that new bags were being purchased that should fit.
    • Also noted was to make sure cooking grease is not placed in the compactor.  It should be collected and disposed of separately.
  • Lodge Housekeeping: 

Linda von Ahn reported there was evidence of lax lodge housekeeping over summer and fall when there is no cleaning service. Examples: unwashed dishes, garbage still in kitchen compactor, diapers in the compactor, etc.  Action Point:  Liftlines to remind members to clean up after themselves.

 

Central Reservations-Linda Von Ahn reported she is still taking reservation but as of this meeting there are openings for all holiday weekends as well as routine.  As of Dec. 1 reservation will be open to all. Members should check web site to be sure their requests have been honored and are accurate.

 

Web Master- Sandy Maguire reported the Webpage is being updated and new links for:

Minutes, Provisional Membership Requirements, Constitution and By Laws, Lodge Staples List and Trip Leader Summary of Duties will be posted in the near future.   It was noted we have wireless internet service on the balcony if desperate.

New Business-

Welcome to Winter Party will be on December 9th at the Elmsford Church from 5:00pm to 9:00 pm at a cost of $6.00 a person (kids under 12 free).  Members were urged to contact Jo Dondero (who has graciously offered to organize once again) in order to get a head count and organize the menu.  Action Point: Janet to send out flyer to membership with particulars.

 

WPSC Bylaws and Constitution General Membership Vote

 

There was a proposal to amend specific sections of the WPSC Bylaws and Constitution. 

 Regarding the following:

  • The addition of web master as a standing committee addition
  • definition of a provisional member: to serve at least 2 years as a provisional member, serve as a trip leader during the second year under the guidance of a sponsor, provisional members will not be provided with a card key to the lodge.
  • deleting the section describing the issuance of bonds
  • updated committee responsibilities

 

 Eighteen members approved the following motions.

Committee Reports

 

Treasury- There is $13, 811.87 in total monies

 

Lodge-  Firewood has been delivered.  Work details have been accomplished.  Norman announced the addition of another work weekend to get the wood stacked in the back of the house.  Newsletter will solicit a work crew—7 or 8 people –over the next 2 weekends

It was noted that this job needs to be done before wood pile freezes to the ground.  May have to outsource job.  Will discuss before next meeting.

Vacuum had a frayed cord and it was replaced by Nick Dondero.

 

Central Reservations-Linda is currently taking reservations.  All weekends remain open, as well as holiday periods.  After December 1st, reservations will be open to all.  Members should check web site to be sure their requests have been honored and are accurate.  If a member notices an error, it should be reported immediately to Linda Von Ahn.

 

Web Master-  send in your jpegs!  We’ll try to share current happenings via the internet.

 

Trip Leader- Vinny will be making his calls asap.  Members should be ready and willing to help out.

 

Membership-43 adults, 1 provisional, 5 mailing members.  Mark needs most recent email  addresses from all members. Please include email address on membership form on line provided.

 

New Business-Welcome to Winter on December 9th.  Elmsford Church.  Joe Dondero has offered to organize the party again this year.

 

Executive Committee is reviewing bylaws and constitution.  Proposals to amend parts   was mentioned, and hopefully can be brought to membership at next meeting (web master standing committee addition and definition of a provisional member)

Announcements from the President

 

The executive committee’s activities and decisions were reviewed and summarized.

 

  • Cost increases: The executive committee increased membership dues, room rates and dinner fees. The number of people present for dinner necessary to qualify for a cook was also increased.  Breakfast fees will remain the same due to the elimination of bacon and variety pack cereals.  The club is attempting to organize and bulk purchase paper goods and staples to further contain costs.  A trend analysis which clearly illustrated the rising operating costs was distributed to the membership for review. 

 

  • Roles of the executive committee members were reviewed and revised

 

  • The Constitutional By Laws are in the process of being reviewed and edited. 

 

  • The role of Web Master was appointed by the president as a voting member of the executive committee.  Currently, WPSC has a basic web site and is quickly becoming a resource for current information.  Eventually the By Laws, Constitution and Blue book (what is this??).  A one page Trip Leader job description and basic supply list will also be added to the website.

 

  • The reservation and registration process has been revised and room reservation checks will not collected at the first meeting.  Because of the poor ski season last year; people did not use all of their chits and the reservation chairman had to return many checks.  The cancellation policy has been revised. (See committee report below).

 

 

The minutes of the April 25th meeting were read and approved as written.

 

Committee Reports

 

Membership - The membership application and fees can by mailed to Marc Rubenstein.

 

Treasurer- There is $ 3,322.00 in the savings account and $315.00 in the checking account.

 

Lodge- The following jobs/activities have been completed for ongoing lodge maintenance: the kitchen floor was jacked up and leveled, attic shelving was installed and finished, broken tiles were replaced, the tree was cut down behind the lodge, the balconies and the sides of the house were stained, the was painted, outside drains were cleaned, the trash bins, mud room, and exhaust fans were cleaned and a new compacted was installed.  All of the paneling, floors and bathrooms were also cleaned.  Note: if an activity is not on this list it does not mean it was not completed.  N. Masri has the current status of lodge maintenance.  A request was made for the information as to how many club members actually participated in the work weekends.

 

Reservations – The cancellation policy has been revised.  A one week cancellation notice must be given for non holidays and a two week cancellation notice must be given for holidays to avoid charges.

 

Trip Leader- A one page job description was written and will be posted on the web site.  Forms will also be available in the blue folder at the lodge.

Lodge- Status Quo, There was a brief discussion regarding the mouse problem.  Various methods of control were mentioned, glue boards, traps and/or poison.

New Business

 

End of Season Bash:  J. Wintermuth suggested of dinner at Seaside Johnnies followed by an evening at Playland.  A fireworks display and a Big Band are scheduled for the evening of July14th.

 

Costs/Cook/Lodge etc.: Mr.  L. Cantamessa suggested that G. Wintermuth provide the executive committee with a “Statement of Operations” to determine how much money the club needs to generate to cover the operating costs. 

 

Lodge/Staples:  N. Masri suggested that some type of system needs to be developed for maintain a supply of nonperishable staples.  Ms. L. Cantamessa agreed to coordinate this effort.

 

Cook/Trip Leader Cash:  V.   mentioned that the Trip Leaders don’t necessarily collect enough cash to pay for the cook.  The possibility of checks will be considered???

 

Anna Batchan  asked that the responsibilities of a Provisional Member be posted on the website.
