for WPSC General Meeting

1.
Welcome – Call to order at 7:45 pm.
2.
Minutes from previous meeting on 2/14/2012 read and accepted (no
minutes from 2/18 meeting at the lodge).
3.
Committee reports:
a. Treasurer - $627 in checking and $26,370 in MM
accounts. At this point, we are taking in more than last year due to
more lodge use and meals.
b. Lodge – Room 7 may have a leak on its front wall; mattresses were
damp. VP Stan will contact Norman about it.
c. Reservations – Lodge has been full lately and some members have
been kept out due to late reservations after guests have been confirmed. Reviewed and discussed guest policy (under
New Business). Potential amendments
tabled until Executive Committee meeting action this summer.
d. Membership – One additional Single Family member Jeff Frey since
last meeting. Diane Steiker upgraded her Single Family membership to Regular
Family membership to bring in husband Maurice as a Provisional. The Executive Committee will vote on the four
Provisionals (Fosters, Deans, Steikers, Dorothy Vieni) at their summer meeting.
e. Trip Leader – Report submitted by Trip Leader Chair Mark Duffy via

We've had good participation on trip leaders, thanks to everyone
who has led a trip! I will publish a complete thank-you list at the end
of the season. Please keep volunteering.
A note to trip leaders: Please be careful to look in the freezer, attic,
cabinets, etc as applicable before reporting shortages of food and supplies.
Otherwise the next week's leader may end up buying supplies that are not
needed.
Bathroom cleanup chore description will be updated for next season based on
executive board discussion. Since we have a cleaner that comes in during
the week the goal of the bathroom cleanup is just to leave the place generally
presentable, not to scrub every surface. This will bring the chore
description more into line with what people have typically been doing.
4.
Previous business:
a. Discussion of the intermittent odor that seems to have returned to
the lodge. Need to have someone check the repair under the stairs near the
fireplace that Dave Hecht made last year.
Perhaps roots have regrown and there is standing water on the other side
under the lodge now; may need to have Gunner the engineer come out again in the
spring after snowmelt. Smoke test never
done; perhaps that should be considered now.
Stan will call Norman to discuss.
b. Frank Backenstrass and daughters were recent guests at the
lodge. They indicated that they had a
good time and will probably be joining as provisionals next season.
c. The “Bike it if you Can” weekend in July being planned by Dave
Wilson is already being advertised. We
are hoping for a good turnout.
5.
New business
1.
Guest policy was reviewed.
Amendments were tabled until the next Executive Committee meeting.
2.
There was a lively discussion about food allergies and what to do
about them with regard to the cook. Currently, members allergic to gluten bring
their own bread and cereals. When the
cook is at the lodge, nobody is permitted to use the kitchen, so members
requiring special meals must excuse themselves from dinner and eat elsewhere. We will consider asking the cook to tell us
what the meal will be by Tuesday, so those who need to opt out have time to do
so by Wednesday. This could be posted on
the Reservations page.
3.
Stan Cichocki will head up the Nominating Committee and present
the slate of nominated officers for next year.
The ballot will go out five (5) days before the next meeting, if
possible, pursuant to the Bylaws. We
will vote by email.
4.
Art Wilchek submitted a question via Sandy asking if we have ever
considered summer memberships. A short
discussion followed, and the consensus was that we don’t need that level of
membership. People may join during the
ski season, but use their chits during the summer, if they prefer.

regularly scheduled membership meeting will be on Tuesday, March 27, 2012.

meetings, it’s really hard to hear when you are skyping in. Art Wilshek said he has friends who are
interested in coming up in the summer, have we ever considered summer
memberships? How would they satisfy the
provisional requirements?

11. Welcome – welcomed possible new member Frank
Backenstrass, who has skied at MRG for years, lives in Pleasantville.
12. Approval of the minutes from previous meeting
– minutes were read and accepted. The
meeting at the lodge over MLK weekend was technically the last meeting, but it
was essentially the same agenda as the 1/10 meeting.
13. Treasurer’s report - $2,912 in
checking and $21,066 in MM. $16,365.76 taken
in since June 1, $23,987.25 out for a YTD loss of $3,345.79. This is largely having to do with much lower
room usage due to less-than-great ski conditions so far this year (we took in
$2,885 in room rental from 6/1/10 – 2/14/12, vs $800 in that same period this
year)
14. Lodge Chair’s report – Norman negotiated
reduced bills for the installation of the new dishwasher, good job Norman. The septic was pumped out two weeks ago –
make sure we use septic safe products.
We need a new battery for the phone in the mudroom; Pam Ferraro will do
this coming weekend.
15. Membership chair report – 52

valley. Sounds great! Member wellness: Ave Haviland hurt her shoulder on the first
run of the season and might be out for the season. Clare Duffy hurt her shoulder at home. We’ll put these notices in the email news.

January 14, 2012 – Lodge Meeting (MLK)

Good meeting, we went around and introduced ourselves, as we had several new members, and then just pretty much just went over the minutes and issues from Tuesday's meeting at Panera, there was general interest in Dave Wilson's bike weekend.
The new dishwasher is working fine.
Everyone seems to love the wifi!! Funny, instead of the kids going up to their rooms and watching movies on their laptops up there, they were all clustered around a few laptops either at a table, on a couch or in the firepit area watching ski movies together. It was nice to see. Had to ask them only once or twice to turn down the volume but it was generally a totally positive thing. People really liked being able to check the weather and sports scores too.
Great crowd this weekend, the Dean's are a lovely family and their kids fit right in and seemed really happy.

21. Welcome – new provisional Dorothy Viene,

22. Approval of the minutes from previous meeting
– minutes were read and accepted. The
WTW was technically the last meeting, but no minutes were taken; that should be
done in the future.
23. Treasurer’s report - $1,782 in
checking and $21,969 in MM. $13,980
taken in since June 1, $20,004 out. The
difference (loss) is partially due to having spent more on propane costs this
year, due to higher prices and a different delivery schedule. We took in $1200 less rooming income than
this period last year and still had septic costs.
24. Lodge Chair’s report – Norman was
not there but there was a discussion about the second new dishwasher, it was
improperly installed so we had to call a plumber to fix it, which resulted in a
large bill. Normal will call both
Bisbees to contest their installation charge and the plumber (Viens) to see if
he will reduce his bill. The compacter
was stuck over new year’s weekend but is now working. Wifi is now installed in the lodge and
according to Dave Wilson, working well.
We are paying for a modem rental this year but might consider buying one
in the future.
25. Membership chair report – we have
two more possible members.
26. Central Reservations chair report
– MLK is full but MRG is still not open, have been flexible about our
cancellation policy in light of the conditions.
27. Trip leader’s chair – always
looking for trip leaders, please volunteer!
28. Old business – Pam Ferraro
reported that we had the highest turnout for the WTW last month than we have
had in a few years, and it was a really fun party. Gunner McCain, the septic engineer, has not
returned the card key, Pam will email him to ask him again. Membership cards with the Metro NY sticker
for discounts were passed out, Janet has them for those who were not in attendance
at this meeting.

wifi at the lodge. It was decided that
the board will vote on the following proposition: that the club will foot the bill for wifi,

this coming December at a cost of approx. $42 per month. We will reassess how it’s working out next
summer, and can either assess the membership if necessary or cancel any time
after the first year is up. Marc will
poll the board by email and Sandy will get it done.
b.
Septic
update – Pam will send a thank you note to the engineer, Gunner, and ask for
our card key back.
c.
Membership
cards – Sandy will make some membership cards; we can affix the stickers from
the Metro NY ski council to receive discounts at various shops and ski
areas. We also need more of the great
recruiting cards she made up.

Chet
Risio and Sandy have been compiling archival information, taking over where
Alan Copeland left off. It was agreed
that important documents should be stored in a fire-safe box at the lodge. Documents should also be scanned first.

are looking into having our January meeting at the orthopedic surgeons’ office
in Greenwich; Pam will arrange. If not,
we’ll be back at Panera.

to encourage members to go. Dehumidifier
should be put in boot room under work bench when not in use so it can be easily
found and turned on in the spring. Need
to get new dishwasher installed before Christmas week; Rita Hess will work with
Bisbee’s to accomplish this. Reminder
that people should not put supplies like toilet paper and tissues in the
cubbies in the back kitchen area; those supplies should be kept in the
bathrooms under the sinks. Cubbies are
for kitchen staples and members’ food bags/boxes only. Rita will get new mattress covers as
needed. Reminder to members that no food
should ever be taken upstairs.
c. Reservations – No report.
d. Membership – Membership forms and checks are now being accepted
for this season. New provisional Diane
Steiker introduced and welcomed. With
thanks to Pam Ferraro and Sandy Maguire, we now have snazzy new WPSC business
cards to hand out to prospective members in the lift lines and other
places. A page of cards was handed out to
each member in attendance; the rest will be kept in the table drawer between
the two chairs near the entrance at the lodge.
e. Trip Leader – No report, although Trip Leader Chair Mark Duffy
attended the meeting via Skype.
10.
Previous business:
a. Discussion of having internet access at the lodge continued from
the spring. Sandy Maguire has gathered a
lot of information; we could have wireless DSL through our phone line from
Green Mountain Access for about $45/month.
We will vote on this at the next meeting.
c. Pam made inventory of leftover items in the boot room and will
email it to members. If nobody claims
the items, she will donate them to charity.
11.
New business
1.
Welcome to Winter Party will be held on Saturday, December 3,
2011. Pam will contact St. Joseph’s of
Arimathea Church to get the room for the party, and will coordinate food,
etc.
2.
With many thanks to Sandy Maguire’s efforts, three members were
able to “attend” this meeting via Skype -- Dave Stein and Mark Duffy from two
different places in Massachusetts, and Noam Shoshan from New Jersey.

Pam Ferraro will contact the Orthopedic doctor group she knows in
Greenwich to see about having our January meeting there.

Continued a discussion from previous meetings
about using Skype or some similar program to allow people to virtually “attend”
meetings. Sandy Maguire will conduct a
test meeting this coming Tuesday with a small group and will report back to the
board. A skype meeting is 10 people or
under, so it will not totally replace our Bradhurst meetings but could allow
others who cannot attend to participate.
c.
Septic
update: the engineer Gunner will be
testing the water found in the hole under the wall and we are planning on some
excavation once all snow is gone and the ground is thawed. If water is septic, the plumber will do a
smoke test to check our system. We
continue to talk about the possibility of our problem being somehow connected
to Ramapo and runoff from their system.
We may do soil samples, including from the area behind the trench in the
back. If we feel there is some
connection, we will have to approach Ramapo in a more formal way, with
documentation, and with Gunner’s involvement.
d.
Continuing
discussion about installing internet access at the lodge. If we add internet service to our existing
phone service, it will cost an additional $400 - $500 a year but we can use a
simple device to then allow long distance phone service, which would be very
helpful especially to those whose cell service doesn’t work so well up at the
lodge. This will be discussed further at
the next board meeting.

Copeland, who passed away this week, we read his entry in the 40th
anniversary booklet and commemorated the life of this great guy and his contributions
to the club.

$29,944 in checking and MM accounts. Since June 1, 2010, we have
spent $22,242 in expenses and have spent $2,530 more than we’ve taken in.
b. Lodge – No real
septic smell! Men’s toilet upstairs
running; need to jiggle handle. Bobby
Kehr will check. Toilets in upstairs
Ladies bath not working properly: one
refills very slowly; the one nearest the wall is not working. Kitchen sink faucet loose; need to lift from
back. Need to keep path to propane tank
clear for deliveries; last week they could not deliver. Suggestion to update binder re lodge
history. New additional shelving for
mudroom to be installed by Vinny Ferraro at work weekend, also hooks by ski
holders for gloves; all present agreed it is a good idea.
c. Reservations – No
real report, but comments that our system works well. Discussed potential replacements for Sandy. Liz Kehr indicated she might be able to help
out in a few years.
d. Membership – New
provisional member David Stein introduced and welcomed. Total membership is 50,
which is lowest it has been in several years.
Discussed ideas for promoting club membership, including posting flyers
at Callie’s Corner, Cricket Club, and other businesses, including White Plains
businesses like Dave & Joelle Litzky’s new bike shop. Suggestion made to make business cards to
hand out while in lift lines, and post on bulletin board at MRG base lodge.
e. Trip Leader – No
report.

seems to be abated for now. We will

c. Discussed items
to add to work weekend chore list: repair toilets; install new shelving and
hooks in boot room; replace loose electrical outlets with stronger commercial
grade outlets (new member David Stein offered to do this as he has electrical
expertise).

– The treasurer's report indicated that we are
spending more than we are taking in.
Part of this was the advance payment for gas. However, we do have a very good reserve of
cash. If we have no further costs
related to the septic smell, then all our expenditures will be normal
ones. However, those costs are going up.

- No heat: Bad igniter was replaced by F. G. White Company in late
January.
Central Reservations – Weekends of February 11-12 and Presidents’ are filling up quickly.

was no consensus as to how to attract new ones. Working thru the MRG website
and finding potential members that already ski at MRG seems like the best

business – Septic smell: On MLK Weekend, in an effort to find the source of the
septic smell problem, Dave Hecht and Vinny Ferraro removed the bench panel
under the stairs and found a hole the size of a softball in the foundation,
behind which was ‘stinking’ water. They inserted a pipe and cap, and
sprayed foam around the pipe.
During the week of January 17th, our engineer,
Gunner, was unable to take a sample of the water. There was discussion
about whether or not this water was coming from the Ramapo septic tank/pipe
above our house and seeping into our foundation. It was suggested that
the engineer should be looking into excavating along the front path in the
spring to determine where this ‘stinking’ water was coming from.
Since then, the smell seems to have abated. It was detected briefly on the Feb. 4/5
weekend in room 1. (or 2)

year:
Getting members to fill officer's positions was discussed. The need to get younger members on the board
is apparent. One of the problems is the far flung nature of our membership
with members living too far away to attend meetings. Mark and Jean Duffy's names came up amongst
others.
Meetings: We discussed the possibility of conducting
meetings via Skype or some such program.
George H and Sandy M are checking into the possibility of conducting
meetings on Skype and at the lodge (eliminating Bradhurst). No one was negative about the idea but the
nature of computer meetings seems awkward.
However, it might get members to "attend" meetings and get
more involved. It bears looking into the
benefits and difficulties of electronic meetings. This led to the possibility of having
meetings in a restaurant, bar, pizza joint, etc. If it were more centrally located it might
attract members to attend. It
costs about $245.00 to rent Bradhurst.
That money could be applied toward patronizing a restaurant only if
could attract more attendance. Everyone
likes the meetings held at the lodge and they feel it sparks more
interest. One idea is to increase
meetings at the lodge.
DSL Internet Access at the Lodge:
There was another discussion about internet access at the
lodge. In November, Sandy spoke with Kaitlin at Green Mountain Access
(888-321-0815). GMA provides high speed (6mb) DSL internet access (cable
is not available in the area). We must have basic phone service in order
to receive internet service.
GMA’s current charge for both is $80 per month (includes
tax & usage), or $960 per year. We now pay $480 per year for local
phone service only. The one-time purchase price for a wireless modem is
$85. Fees: first year with
contract is $400 – saves $80, but early termination fee of $175; Month to month fee (no contract) is $40 with
no termination fee. The additional cost of $480 for DSL would be about $10 per
membership. This access could be password-protected to prevent
unauthorized use by children, assuming parents monitor usage.
Regarding socialization issues when the house is full, it
was felt that computer usage would not consume any more attention than the
‘Gameboys’, portable DVD players, books or newspapers currently enjoyed by
members and their children. Some felt it
would make the lodge more attractive because members could do their work at the
lodge and this would encourage more use of the lodge. Others felt the increased cost would be
prohibitive. In the absence of a full house, members who like to enjoy the
lodge in the summer or fall for biking, fishing or hiking would have the
ability to access business issues, news, Netflix, etc.

Septic
update – Dave, Pam and Vinny – back in November, Dave had been talking to our
engineer Gunner about doing a smoke test, which would test for vapor leaks in
our venting system. Gunner and a plumber
finally made it out to the lodge over Christmas week, and Vinny Ferraro walked
around with them. They recommended a
camera snake test instead of the smoke test (this was in part due to the trap
that was installed in the basement last year – gasses should not travel back
uphill through that). The snake test was
done shortly thereafter and showed no visible leaks. That is both good and bad news – a leak would
lead to a possible solution! Gunner then
recommended that we open up the paneling in the area just under the stairs, as
you go down into the fireplace area.
That area (where we keep the wood) has always been a place where the
smell has been the strongest. Over MLK
weekend, Dave and Vinny took off the paneling under the seat, and a fairly
large hole is visible in the foundation.
They could see some standing water and it smelled bad. We now have to get Gunner back in to look at
that and possibly test that water; in the meantime, Dave plugged up that hole
with a pipe, foam-sealed around the pipe, and put a cap on it. It will be interesting to see if that stops
some of the smell. We are assiduously
pursuing all reasonable avenues to determine the real cause of this smell and
what can be done about it. The process
thus far has been mainly a process of elimination, which is both helpful and
frustrating. Be assured that it is a
very high priority but all steps leading to a solution have been expensive and
we are trying to proceed responsibly and not throw good money after bad. Member Paul Schwendener asked if there is
such a person as a septic “guru”, someone who specializes in diagnosing and
fixing these kinds of problems. We think
the septic engineer we have been working with is a close as we’re likely to
find in Vermont, but if anyone wants to conduct an internet search for such a
person, Dave H. will be happy to talk to them.
We are grateful to Dave for making two trips to the hardware store and
to him and Vinny for taking time over their holiday weekend to work on this
problem.

to the club and accepted that if you don’t use them, that’s your decision. We raised the number of chits two years ago
to raise income to offset rising fixed costs (and as opposed to raising dues),
and also to encourage use of the lodge.

Sharon, to tell her that this week will be the last week she should come and
clean for the season.

The cook, Christine, has offered to
return the card key, in all likelihood we will ask her back for next year. She may not be the best cook we’ve had but

though she worked almost every weekend.

Alan Copeland asked where old records
are, and what we should really have and what can be tossed. George W. knows that there are some records
up at the lodge under some bunks, and we think people who have held board

volunteered to look through what’s up at the lodge when they are up there this
summer.

Continuation of septic discussion and possible
causes and cures. Norman summarized
actions, expenditures and status to date, indicating that no further
action is possible until spring when a state-licensed engineer will be hired to
conduct a complete survey, etc.
Additional comments from the floor included:
A request for a description of the club’s
septic system, what the club owns and is responsible for, and what portion is
shared with the MRG and other property owners.
A request that club members (due to the smell) be
allowed to carry over chits to next year. One or more members objected to this
on the grounds that it was no different than a poor snow year. The requester
and others did not agree.

Business:
Pam Ferraro has requested that she
and George Hess to be placed on the ballot as President and Vice President for
another year. Those present at the meeting were asked to vote on this,
but George Wintermuth said that he thought that the constitution required that
a special vote by the membership is necessary and all members need to be
advised that a special vote will be held on a specific date in the future. The
floor moved and accepted that the vote will be held at the next monthly
meeting.
Due
to the septic smell problem, there will be no ‘Meet & Greet’ for new
prospective members in the lodge this year.

Lodge - switch in ladies room not working, Mark
Haviland will replace. Fan in kitchen
not working; Vinny fixed but should be on the summer’s ww agenda. We need firewood – having it delivered is
problematic because it would just get dumped in front of the house and it will
be hard to get it stacked properly in the back.
Members are asked to bring up wood if they can so we can make it last
the rest of the season. Septic update: On Saturday,
February 6th, Sue Lazarus, who works for the Department of Veterans Affairs
establishing safe environments, used a device to determine if the smell is
damaging and also its origin. The device, in lieu of proper nomenclature we'll
call a "SmelloMeter", gave zero readings for methane, carbon monoxide
and hydrogen sulfide. However, using another device she was unable to find the
smell's origin.
At the February 9th meeting there was considerable
discussion as to how to solve this problem. There are as many solutions as
there are members and some are very expensive. As of now the club has spent
$1,400 employing plumbers, septic and propane services all of which have failed
to find a definitive solution. These efforts have, at least, eliminated some
possibilities. Excavation for a possible broken pipe will have to wait for the spring
thaw. That is seven weeks away. Until then members are urged to be patient. So far the smell has not diminished anyone's
enjoyment at the lodge.
Also, as previously stated, cleaning products containing
bleach and antibacterial ingredients have been removed from the lodge and our
cleaning person is on board with not using them as well. PLEASE do not
bring up or purchase items with those ingredients. Also, Scott tissue
paper is the only toilet paper that should be used, as it is safe for septic
systems - do not buy any other kind. While we search for the cause of the
smell, let's do all we can to keep the septic system working properly. Also, when you are at the lodge, small steps
definitely help; crack a few windows open and light scented candles.
If you have any scented candles at home that you don't use, consider bringing
them up to the lodge. The kind in a glass container, like Yankee candles,
are the safest and work well.
Future steps, which may have to wait until spring, include
using a camera snake in both the roof vent and the downstairs pipe, using a
powder that identifies leaks in the system and a powder that you sprinkle on
top of the ground to identify leaks.
Also, it has been observed that people have been throwing
food outside, off the balcony outside rooms 9 and 10. This is dangerous because it will attract
bears and other unwelcome attention. All
food must be disposed of only in garbage bags, and only in the cans in front of
the lodge.
Also, kitchen utensils have gone missing, please do not
remove anything from the lodge and if you use something, put it back where you
found it.
Last thing, in the absence of using a physical trap or
poison, we need some kind of pest control.
There are electric ones that use soundwaves to keep pests away, Vinny F.
bought one and Rita Hess uses another kind at home. Vinny will do some more research and then
implement one or more up at the house.

from recent MRG Homeowners meeting: Pam
and Chet attended the homeowner’s meeting over Green and Gold weekend. A report from MRG Cooperative President Jamey
Wimble says that preseason sales are good and ahead of last year YTD. Called last year “sub par”. Regarding the bridge, he had an engineer and
two contractors look at it, it’s OK for another year or two but it will happen
and we will be assessed at that time.
Any heavy vehicles (i.e. construction, etc) that have to access Schuss
Pass should go around the back, by Amateur.
The association is looking to raise another $5K to name a tower on the
single chair. They reminded clubs that
they can still donate! The Mad River
Path association reported that they are seeking donations to support the group
and their efforts to create a path connecting Moretown to Warren. Also, don’t throw food outside; many bears
and moose were spotted this summer and are active and present on the mountain.

out what is causing the “septic” smell in the lodge. One person said that the 40+ year old cast
iron pipe leading out of the house has collapsed and is leaching waste into the
ground, would need to be dug up and replaced for a cost of about $4000. Two other plumbers were consulted and both
said that nothing is wrong with the pipe and nothing needs to be done. We will go with that opinion for the time
being. One thing that might be happening
is that the rat poison that is around the house might be making animals go off
and die in the walls; the poison will be removed asap and replaced with regular
mouse traps and that might help. We have
already spent $800 on the plumber’s visits.

a. The discussion about recruiting new members led to a general discussion about membership – lodge usage, issues with current provisional members, member retention, and recruiting new members. Several issues were discussed, such as the difficulty of getting people to sign up as trip leaders. Having regular members back out of some winter weekends has made it difficult for provisional members to attend, and it was pointed out that in the past, it was mandatory for trip leaders to attend the weekend for which they had volunteered. All agreed that further discussion and research is warranted to examine roadblocks that are currently hindering members from using and enjoying the lodge. The board will take this up in our summer meetings.
b. It was suggested that the next club meeting, scheduled for April 28, be turned into an executive board meeting and all were in agreement. Norman reminded us that any member is welcome at a board meeting to hear what’s going on or to voice an opinion, but they cannot vote. So, April 28 at Bradhurst will be a board meeting but any member is welcome to attend.
c. Generator – Nick Dondero had some suggestions for instances of power failure until such time as we might get a generator. He had a large flashlight (and it was mentioned that members are well advised to bring their own flashlights for such cases) and a space blanket for personal warmth.
d. Sandy is planning a hike, a temporary date of May 30 was set and the possible location of Muscoot Farm. More info to follow.

Highlights
from recent MRG Homeowners meeting: Pam
and Chet attended the homeowner’s meeting over Green and Gold weekend. A report from MRG Cooperative President Jamey
Wimble says that preseason sales are good and ahead of last year YTD. Called last year “sub par”. Regarding the bridge, he had an engineer and
two contractors look at it, it’s OK for another year or two but it will happen
and we will be assessed at that time.
Any heavy vehicles (i.e. construction, etc) that have to access Schuss
Pass should go around the back, by Amateur.
The association is looking to raise another $5K to name a tower on the
single chair. They reminded clubs that
they can still donate! The Mad River
Path association reported that they are seeking donations to support the group
and their efforts to create a path connecting Moretown to Warren. Also, don’t throw food outside; many bears
and moose were spotted this summer and are active and present on the mountain.

Next weekend, inter-club meet and greet. MRG is helping promote a meet and greet to
make folks who ski at MRG aware of the ski clubs on or around the mountain. There is a listing on the MRG event calendar
that reads: All of Mad River
Glen's on-mountain Ski Clubs are coming together to host an open house night
after skiing on Saturday March 14 from 4 to 6 PM. If you are unaware, Mad River
Glen has seven ski clubs with houses on (or very near) the mountain. All of
them have a rich tradition and history here at Mad River Glen. They are working
together to raise awareness of the clubs among the Mad River Glen community.
Anyone with an interest is invited to come by and visit the clubs that day. Mad
River Glen's on-mountain clubs are: Amateur Ski Club of New York Garden City
Ski Club Hartford Ski Club Montclair Ski Club North Jersey Whiz Skiers Ramapo
Ski Club White Plains Ski Club. There is
also a link to all clubs from the MRG website under “visitor Info”. We agreed that this is a good start to
increase awareness among MRG skiers and we should try to do it earlier in the
season next year, like January.

discussion about generators, they vary greatly in capacity and price and
general consensus still seems to be that although we do lose power once in
awhile, it’s not usually for more than an hour or two at a time and it would be
a great expense to purchase a generator for those infrequent occasions.

We decided also that as many members find it hard to get to meetings, we could hold meetings occasionally up at the lodge, maybe during holiday weekends. If they are publicized ahead of time as an additional meeting, it will satisfy the constitution. This may also help with members who live way out of town. We also discussed creating opportunities for those members to do other things for the club, like be a trip leader, that could satisfy the meeting requirement.

Vice President George Hess started the meeting at
George Wintermuth, Treasurer, reported that we have $18,374.61 in our account. We have prepaid the trash account for the year 2008-09 - $396.
Norman Masri, Lodge Chairman, reported that the hole in the kitchen ceiling has been repaired, the burners have been serviced for the winter, and a new wood cradle has been purchased. We are checking the whereabouts of the Phillips screwdrivers, etc. Also, a belt on the vacuum in the mud room needs replacing.
Sandy Maguire, Central Reservations/Webmaster, reported reservations are open. The password protection has been taken off the home page of the website to allow public access to all links except reservations (members should use the same ID and password as previously). We are waiting for Yahoo, Google and MSN search engines to index our site.

– work weekend report – it seems the upstairs men’s room floor and downstairs
kitchen and dining room floors were not given a final cleaning at the last work
weekend. Anyone can go up and do this
before the first weekend in Dec. and receive work weekend credit. Further staining of the outside will have to
wait until next year.
It
was suggested that the cleaning people are not doing a great job and might not
be necessary any more, that members should do the assigned jobs. It was agreed that members ought to, but
don’t always, do a great cleaning job. Future
trip leaders should stress the importance of these tasks and try to check that
they are completed, and members who might be at the Lodge when the cleaning
people are there can keep on eye on them and how well they are cleaning.

Central
Reservations – fax machine and new procedure for confirming bedlist. We should try to move the machine off the
work bench; perhaps install a shelf for this purpose where the mirror is now in
the mudroom. In the meantime, if you
need to work on your skis, there is enough cord on the fax machine that you can
move it onto the floor, out of the way, while you work.

– We are so sad to report that longtime member Ernie Basso passed away. Chet sent an email, service this Friday
10/31. Many members attended Gordon
Hecht’s wake and service and the club made a donation in his memory to a
hospice service, at the family’s request.

expected to follow all club rules”.

distribute to interested friends to inform them about the club and drive people

Lodge as guests.

to strategize about attracting new members.
Pam passed around some info she had found about how other clubs market
themselves on the internet. Most members
present seemed to think that we can safely remove the password from our
website, which would open it up to outside people who might be looking for a
club like ours. We need to look for ways
to cross-market the club with other groups – biking groups, ski shops, etc –
who might have customers or members who would be attracted to the WPSC. Keep the ideas coming! Dave Litzky also stressed that weekend ski
trips should have some fun theme – if the trip leader can’t do that, someone
else can do it. It doesn’t have to be
elaborate – something simple that people can look forward to works very well!

He distributed the audit (extra copies available, will have them at the next meeting). Lodge expenses are rising; taxes, gas, electricity, and insurance costs will be approximately $2000 more than last year.
Lodge: Work weekend tasks have been well executed so far this year; last weekend details include a thorough cleaning of the lodge as well as some exterior staining and painting if the weather cooperates. Next year, the fire escapes need to be redone.

don’t freeze and burst.

Treasurer: George Wintermuth reports there is $12,352.54 total in savings and checking. It was decided to table a vote about donating to the MRG ski patrol until a meeting where more members are present.
Lodge:
Heating has been repaired. Club was charged one for one visit by service man. Fire extinguishers have been checked and the one downstairs on the post needs to be replaced.
George Wintermuth will take care of replacing ceiling tile in kitchen. Nick Dondero replaced electric outlet in room #2. It was noted that all night light receptacles be replaced on the second floor this year, or as part of next summer’s work.
Central Reservations/Webmaster: 40th anniversary party: 57 paid attendees. Welcome to winter TBD…Plenty of rooms available for the upcoming season.

New Business: A request was made to put down gravel where the makeshift outdoor bbq pit is located. For the 2008 work list, the Donderos would like to steam clean the carpets next October. The club also needs a new member or two to commit to keeping the staples supplied throughout the year by buying in bulk and using the list created last year.

Treasurer: George Wintermuth reports there is $12,307.59 total in savings and checking. George presented the financial statement and it was accepted by member vote.
Lodge: All yearly maintenance work has been
completed. There is a problem currently
with the heating and hot water system.
Both are shut off. Boiler is out.
A ceiling tile needs to be replaced in the kitchen, as a toilet in the women’s bathroom had been leaking, causing damage to aforementioned tile.
There is plenty of firewood ready to be used.
Central Reservations: There are a few reservations for Christmas week and Martin Luther King weekend and President’s weekend.

Web Master: 53 people thus far have signed up for the 40th anniversary of the club party. Jo Dondero has offered to provide the projector that is needed. A report from the home owners’ meeting was shared, including the solicitation of a donation to the (new)single chair campaign.

Membership: No change since the last meeting
Treasurer: George Wintermuth reports there is $25,
530.64 totals in savings and checking.
It was discussed that the executive committee should look into lodge use
and numbers for the past season to determine whether or not the rate changes
and rules were effective. It was noted
that the club has been running about $2000.00 ahead of last year at this time.
Lodge: Work weekends were announced by Norman Masri. They are: June 23 and 24, 2007, July 21 and 22, 2007, August 11 and 12, 2007, September 8 and 9, 2007 and a tentative 5th weekend of September 29 and 30, 2007. It was noted that the 5th weekend should not conflict with Green and Gold Weekend, nor should it be too late in the fall.
Central Reservations: No report (no new reservations as of this week)
Trip Leader: there is no more need of a trip leader for this season. Vinny Zimnoch reported that he had many volunteers over the season and thanked Rita Hess for restocking the supplies traveling to Casco in Winooski in order to do so. Vinny mentioned that the system seems to work best when a person is designated to the job.
The recycling bins were also mentioned. Everyone still needs to bring home their own recyclables, and use the bin for club recyclables and the trip leader will be able to bring home a bin that is full.
Web Master: Sandy Maguire reported that there are video links on the web page. It was noted that the web page was a huge success this year.

New Business: Possible spring brunch to be held at West Point Officer’s Club. Details will be looked into. It was noted that the 40th anniversary of the ski lodge is December 2007. A suggestion was made to mark this occasion. Ideas include marking the anniversary at the Welcome to Winter party and during Xmas week 2007 at the lodge itself.

Lodge – The compactor bags fit and work in the compacter. Trash bags do not work in the compactor. Please make sure the appropriate bags are used. There are still three blankets missing. Due to a lack of snow the housekeeper did not clean the lodge during December. It was decided to adhere to the current schedule of weekly cleanings as the lodge is being used on the weekends.
Central Reservations- Presidents weekend is full but there are still vacancies midweek. Please check the website for availability. The cancellation policy was temporarily suspended for Martin Luther King weekend due to a lack of snow.

The meeting was called to order by the President, Sue
Lazarus, at
After the salute to the flag the minutes of the last meeting were read and
approved. There was a small discussion about compactor bags not fitting the
compactor. A matter that will be
addressed.
Jo Dondero was thanked for again running another successful Welcome to Winter
party. As a token of the club’s appreciation, the president gave Jo a bouquet
of flowers. Jo reported that 35 adults and 6 children attended. The gross was
$250.00. Expenses were $137.00 for net gain of $113.00.
Jo commented that there initially was a poor response to the party. As of
Sunday, Dec. 3rd, there were only 9 people signed up. She had to call all the
membership to urge them to attend. This was very time consuming. Most members
were waiting for an Email announcing the party. The information was on the WPSC
website. Members were advised to check the site rather than wait for an Email.
Webmaster Sandy Maguire confirmed that the home page now has links to
everything including up coming events and photo op pages. Photos of the party
are displayed as are some excellent photos by Tom Maguire.
Janet Rubinstein reported that there are 27 regular family members, 2 single
family members, 16 singles, 3 provisionals and 4 mailing members.
George Wintermuth announced that there is now $12,789.31 in the treasury. He
reported that major bills were paid up: Taxes of $5,527.75 and the quarterly
insurance premium of $871.50.
Norman Masri reported that the large dead tree behind the lodge was cut down in
September and next year he will rent a log splitter to provide firewood for the
lodge. He also said that three blankets are still missing and that the Whytes
service man said that the igniters for the water heaters should be replaced
every year. Vinnie Zimnoch reported that a new relay was installed on the front
door battery backup.
Rolandas Ciubatiuk and Dan Klimas installed tiles on both men’s showers to
eliminate the mold problem. This condition does not exist in the women’s
showers. Several women expressed a desire to see the tiles. Several men
volunteered to escort the women to the men’s room. The president said she would
just change the signs on the doors.
Central Reservations said there were openings on Christmas, New Year’s, Martin
Luther King weekends. Presidents’ week has 33 people signed up.
Trip Leader chairman Vinnie Zimnoch said that trip leaders should buy the large
cereal boxes rather than the small individual ones. An alternative to that
would be the purchase of a supply of cereal at Costco.

New business: Mad River Co-op is hosting a party for Co-op members on Thursday,
Dec. 28th in the base box. Sharon, our cleaning lady, will soon start bathroom
and kitchen clean up every Thursday.

Lodge Rita Hess reported the following for the final work weekend of the season:
Linda von Ahn reported there was
evidence of lax lodge housekeeping over summer and fall when there is no
cleaning service. Examples: unwashed dishes, garbage still in kitchen
compactor, diapers in the compactor, etc.
Action Point: Liftlines to remind members to clean up after
themselves.
Central Reservations-Linda Von Ahn reported she is still taking reservation but as of this meeting there are openings for all holiday weekends as well as routine. As of Dec. 1 reservation will be open to all. Members should check web site to be sure their requests have been honored and are accurate.

Central Reservations-Linda is currently taking reservations. All weekends remain open, as well as holiday periods. After December 1st, reservations will be open to all. Committee Reports
Membership - The membership application and fees can by mailed to Marc Rubenstein.
Treasurer- There is $ 3,322.00 in the savings account and $315.00 in the checking account.
Lodge- The following jobs/activities have been completed for ongoing lodge maintenance: the kitchen floor was jacked up and leveled, attic shelving was installed and finished, broken tiles were replaced, the tree was cut down behind the lodge, the balconies and the sides of the house were stained, the was painted, outside drains were cleaned, the trash bins, mud room, and exhaust fans were cleaned and a new compacted was installed. All of the paneling, floors and bathrooms were also cleaned. Note: if an activity is not on this list it does not mean it was not completed. N. Masri has the current status of lodge maintenance. A request was made for the information as to how many club members actually participated in the work weekends.
Reservations – The cancellation policy has been revised. A one week cancellation notice must be given for non holidays and a two week cancellation notice must be given for holidays to avoid charges.
Trip Leader- A one page job description was written and will be posted on the web site. Forms will also be available in the blue folder at the lodge.

End of Season Bash: J. Wintermuth suggested of dinner at Seaside Johnnies followed by an evening at Playland. A fireworks display and a Big Band are scheduled for the evening of July14th.
Costs/Cook/Lodge etc.: Mr. L. Cantamessa suggested that G. Wintermuth provide the executive committee with a “Statement of Operations” to determine how much money the club needs to generate to cover the operating costs.
Lodge/Staples: N. Masri suggested that some type of system needs to be developed for maintain a supply of nonperishable staples. Ms. L. Cantamessa agreed to coordinate this effort.
Cook/Trip Leader Cash: V. mentioned that the Trip Leaders don’t necessarily collect enough cash to pay for the cook. The possibility of checks will be considered???
